Sharing & Embedding Your Prequalification Form on Your Website

Share your Prequalification Form with subcontractors via a direct link, or embed it seamlessly on your website using Billy's iframe embed code.

Overview

Once your Prequalification Form is set up in Billy, you have two ways to share it with subcontractors: a direct link they can visit in any browser, or an embed code that places the form directly on a page of your website. Both options are found in Settings > Prequalification.

Getting to Your Prequalification Settings

To access your form sharing options:

  1. Click Settings in the left-hand navigation.

  2. Under Team Settings, click Prequalification.

  3. Use the Select Your Prequal Form dropdown to choose which Custom Form you want to share.

πŸ“Œ Note: Only Published Custom Forms will appear in the dropdown. If your form isn't showing up, go to Settings > Custom Forms and make sure the form's status is set to Published.

Option A: Share via Direct Link

Your Prequal Form Link is a unique URL that takes subcontractors directly to your prequalification form β€” no login or account required on their end.

To use the direct link:

  1. In the Your Prequal Form Link section, click the copy icon to the right of the URL.

  2. Paste the link wherever you'd like to share it β€” in an email, a vendor portal, a bid invitation, or anywhere else subcontractors will see it.

πŸ’‘ Tip: You can also paste the link into your browser to preview exactly how the form appears to subcontractors before sharing it.

Option B: Embed on Your Website

The Embed in your website option generates a short snippet of HTML code (called an iframe) that your web developer can paste into any page on your website. Once added, the prequalification form will appear directly on that page β€” subcontractors can fill it out without ever leaving your site.

To get the embed code:

  1. In the Embed in your website section, click the Copy Embed Code button.

  2. Send the copied code to your web developer or website administrator.

  3. Your developer will paste the iframe code into the HTML of the page where you'd like the form to appear.

πŸ“Œ Note: Your web developer will need to add the embed code to your website to complete the setup. If your website runs on WordPress or a similar CMS, they can paste the iframe snippet into the page's HTML block or custom HTML widget.

Frequently Asked Questions

Do subcontractors need a Billy account to fill out the form?

No. Subcontractors can access and submit the form via either the direct link or the embedded version without creating a Billy account.

What happens after a subcontractor submits the form?

Their submission is automatically imported into Billy for your review. You and any team members you've set up for submission notifications will receive an email alert. You can then review the submission under Needs Attention > Directory > PreQual.

Can I change which form the link and embed code point to?

Yes. Use the Select Your Prequal Form dropdown in Settings > Prequalification to switch to a different Published form at any time. The link and embed code will update automatically.

My form isn't appearing in the dropdown β€” what should I do?

Only Published forms appear in the list. Go to Settings > Custom Forms, find your form, click Edit, and change the Status to Published, then save.
