Uploading Sample Documents at the Company Level

Learn how to upload sample documents at the Company Level in Settings so vendors can reference them when submitting insurance on any project.

Overview

Sample documents โ€” such as Certificates of Insurance requirements or vendor insurance checklists โ€” can now be uploaded at the Company Level in Billy, in addition to the Project Level. This means you can set default reference documents that are available to vendors across all of your projects, without having to attach them individually each time.

Once uploaded, vendors will see these documents on their Submit Insurance page, just like they would with Project Level sample documents.

How to Upload Company-Level Sample Documents

Follow these steps to add sample documents at the Company Level:

  1. Navigate to Settings in the left-hand menu.

  2. Under Team Settings, click Sample Documents.

  3. At the top of the page, click the + Add Sample Document button.

  4. In the modal that appears, click Upload and select the document from your computer.

  5. Once uploaded, the document will appear in the Sample Documents list and will be available to vendors on their Submit Insurance page.

๐Ÿ’ก Tip: After uploading, make sure to click the Company Level tab in the Sample Documents section to confirm your documents appear there. The Project tab shows documents tied to specific projects, while the Company Level tab shows your global defaults.

What Vendors See

When a vendor visits their Submit Insurance page for any project, they will see the Company Level sample documents available for download or preview โ€” the same experience they have with Project Level sample documents. This gives them easy access to your insurance requirements and checklists without any extra steps on your end.

Project Level vs. Company Level Sample Documents

Project Level

Documents attached to a specific project. Only visible to vendors working on that project.

Company Level

Documents uploaded in Settings. Available to vendors across all projects as global defaults.

Frequently Asked Questions

Can I have both Project Level and Company Level sample documents active at the same time?

Yes. Both sets of documents will be visible to vendors on the Submit Insurance page. You can use Company Level documents for your standard requirements and Project Level documents for anything project-specific.

Can I remove a Company Level sample document after uploading it?

Yes. In Settings > Sample Documents, click the three-dot menu (โ‹ฎ) next to any document to remove it.

Are there any file type or size restrictions for uploads?
