Your general contractor uses a platform called Billy to manage insurance compliance. Billy sends you emails when your compliance documents are needed, expired, or missing. If you have not been receiving those emails, your email provider may be blocking or filtering them. This guide will walk you through how to fix it in just a few steps.
Before you start Try Step 1 first. Most people find their emails in their spam folder and that is all they need to do, easy peasy lemon squeezy. |
Step 1: Check Your Spam or Junk Folder
Compliance emails from Billy are sometimes automatically sorted into spam or junk. This is the most common reason vendors think they are not receiving emails.
Open your email inbox.
Look for a folder on the left side of your screen called "Spam," "Junk," or "Junk Email."
Search inside that folder for emails from your general contractor, or search for the word "compliance."
If you find an email from Billy or your GC, open it and click "Not Spam," "Not Junk," or "Report as Safe." This tells your email provider to let these messages through in the future.
Did you find the email? Great! You are all set. If not, keep going to Step 2.
Step 2: Add the Sender to Your Safe Senders List
Adding the sender to your safe senders list (sometimes called a whitelist or contacts) prevents your email provider from blocking these messages in the future. Follow the instructions below for whichever email provider you use.
Gmail:
In the search bar at the top of Gmail, type: from:billyforinsurance.com and press Enter.
If any emails appear, open one of them.
Hover over the sender name in the email to reveal a contact card, then click "Add to contacts."
If no emails appear, click the Google Apps icon (the nine-dot grid) in the top right corner, open Contacts, and manually add noreply@billyforinsurance.com as a new contact.
Outlook or Microsoft 365:
Click the gear icon in the top right corner to open Settings. Then click "View all Outlook settings."
Go to Mail > Junk email. Under "Safe senders and domains," click Add.
billyforinsurance.com and press Enter.
Scroll to the bottom and click Save.
Yahoo Mail:
Yahoo Mail users: please read this carefully Yahoo Mail blocks certain compliance and automated emails in a way that your settings alone cannot always override. If you use Yahoo Mail and Steps 1 and 2 do not work, the most reliable fix is to switch to a different email address (see Step 3).
You can try the steps below, but if emails are still not arriving, Step 3 will solve it. |
Click the gear icon in the top right corner and select "More Settings."
"Filters" then "Add new filters."
Set the filter to match emails From > Contains > billyforinsurance.com, and select your Inbox as the destination.
Click Save.
Apple Mail (iCloud):
In Apple Mail, find any email from Billy or your GC (check spam if needed).
Right-click or Control-click the sender name and select "Add to VIP" or "Add to Contacts."
To mark the domain as safe, go to Mail > Preferences > Rules and create a rule that moves emails from billyforinsurance.com to your Inbox.
Step 3: Use a Different Email Address
If Steps 1 and 2 did not fix the problem, the simplest and most reliable solution is to provide your general contractor with a different email address. Some email providers, especially Yahoo and AOL, have strict filters that block automated compliance emails no matter what settings you adjust.
Recommended email providers Gmail (free at gmail.com) is the most reliable option for receiving Billy emails. Outlook (free at outlook.com) is also a great choice. A company email address (yourname@yourcompany.com) will also work well in most cases. |
Once you have a new email address you would like to use:
Contact your general contractor and let them know your new email address.
Ask them to update it in Billy and resend the compliance request.
Check your inbox for the new email and confirm you received it.
Still Not Working?
If you have tried all three steps and are still not receiving emails, there may be a setting on your company's email server that is blocking messages at a deeper level. This typically requires your IT team or managed service provider to get involved.
Ask your IT team to allow emails from the following domain:
Domain to allowlist
Your IT team can add these to your email server's trusted senders or allowlist. This is the sending infrastructure Billy uses to deliver all compliance-related emails. |
