The second page in the navigation menu is Needs Attention. This page contains actionable insights, highlighting areas that need attention based on the desired project, or all projects!

In this article, we will review the 4 components of the Needs Attention Page:

PRO TIPS

EXECUTIVE TEAM: Want a bird's eye view of the work that needs to be done in Billy? This section is where you want to be!


Project Filter

Select all projects or a certain project to see what work needs to be done. Quickly jump around to different projects all on one page!


Needs Review

Contracts (vendors) that submit documents across any project are compiled in the Needs Review tab. The number noted in this tab shows how many contracts have documents that need to be reviewed. The number of documents to review per contract is listed in the 4th column of this table.

You can also click Needs Review from the Dashboard and navigate to the Needs Attention page where you can review all submitted documents all at once.

There are a few additions and improvements to your review screen. Now you can see all documents submitted for a contract (Documents tab at top) and any notes (Internal Notes tab) within the same review screen. The "Evaluation" tab is the current document being reviewed. No more navigating in and out of pages to find the information you need!

Needs Request

When contracts (vendors) are added to Billy, the initial request for documents must be sent, then Billy sends 3 automatic reminder emails. See what these emails look like here. This is another section in your account that offers huge time savings. Send out a large number of requests for documents across all projects with a few clicks.

The number noted in this tab tells you how many contracts have yet to upload a document, and this tab is broken down into 2 sub-tabs:

  1. Needs Request - A request has not yet been sent since the contract (vendor) was added to Billy.

  2. Needs Document - A request has been sent since the contract (vendor) was added to Billy, but the vendor is yet to upload a document.

Non-Responsive

Definition + Why This Is Important

Any time an initial request for documents, a rejection, or an automated expiration email is sent, Billy automatically sends 3 reminder emails. If a vendor does not submit a document after these 4 emails have been sent, they are listed in the Non-Responsive tab on the Needs Attention page, as well as on every project.

The number in the blue circle notates how many contracts have not responded to Billy's automated emails. This gives you visibility into the contracts that require you to re-trigger requests and put the ball back in the vendor's court to respond.

Re-triggering Emails

When the Request Documents button is active (blue) this indicates that the vendor has not yet submitted a document request. Click Request Documents to re-request documents.

When the Request Documents button is inactive (grey) this indicates the contract is Non-responsive to expiration or rejection reminder emails. This article, including a quick 3-minute video, explains how to re-trigger requests for these contracts.

PRO TIP

If a vendor is non-responsive, our recommended first step is to reach out to the vendor to confirm the email address on file is correct. Then use this as an opportunity to directly communicate with the vendor about how your compliance process with Billy works.
