How to send the rota to your Care Recipient or Care Professional via Birdie Analytics

You can schedule and send your care recipients and care professionals' rota directly to them automatically every week via Birdie Analytics!

If you use the Birdie platform for rostering you can access rotas for both your care recipients and care professionals within Birdie Analytics. You are also able to schedule these to send weekly saving you time and giving your care recipients and care professionals visibility for future visits.

How to schedule the next 7 days' visits

After you have logged into Birdie Analytics, click on Boards and select the HR scheduling and matching board. Once you have done this, click on the Client & Carer Rota.

This will show you all future visits that have been scheduled in your agency. You can now filter using the name of the person whose rota you want to send. You can do this by using the filters 'Client or Carer name'.

Once you have filtered by the name of the care recipients or care professional the report will show you all future visits that have been scheduled. If you only want to send the next seven days worth of visits you will need to use the Visit date filter and select Matches (advanced) and input 0 days ago for 7 days.

To schedule this to send, click on the Three dots where it says Actions and click on Schedule delivery. You will want to personalise the scheduled name section as this is what the person will see when they receive the email and it will also ensure you are sending the rota to the correct person. Here you can also enter the email address of the person who wants to receive this weekly.

You can now set the recurrence and time of this scheduled delivery to weekly or any other interval. Under Advanced Options you can add a personal message or further notes, you should also ensure you tick the Expand table to show all rows box to make sure your client/caregiver can see all of the visits.

Once you are happy with the details click Save, this will now send weekly to your client or carer.

How to duplicate a schedule

To save you time, you can duplicate this rota delivery for another care recipient or care professional. To do this, click the three dots and select Duplicate on the schedule you have just sent. You will need to change the filter and select the correct care recipient or care professional's name and remove the previous name. Please check you have also changed the schedule name to the correct care recipient or care professional to avoid any confusion.

Once you have updated this click Save. If you need to delete or edit a schedule, click on More options and select edit or delete.


How to send the last 7 days' visits

In order to send the last 7 days' worth of visits to a care recipient or care professional, simply use the Visit date filter and select 'is in the last 7 days'
