How to use the Action report on Birdie Analytics

Get a quick overview of how many Actions are being competed in your Agency

The Action report will give you an in-depth view of all the Actions raised in your agency, who they are assigned to and when they are due. You can use this report to see past actions or to forecast how many actions you need to do in a set period of time.

This report is linked to the Actions tab in the Inbox. Start by going to your Inbox on the Agency hub, on the left-hand side you will see the list of actions.

You are able to filter through all of the actions or view:

  • Unassigned actions

  • My actions

  • Actions due today

  • Actions due this week

  • Completed Actions

  • Archived Actions

To run a report on the Actions tab, log into your Looker account, go to the Monitoring & Auditing board and click on the Actions report.


Filtering the report

To get the most relevant information, you can filter by branch name, who the action is assigned to, the client group and the due date. Filtering the report is a useful first step, the below filters are a good starting point and will enable you to quickly see the Status, due date and completion of an action.

  • The Due date filter, by default, is set to 'is anytime'. You can change this to a specific month, or a specific year.

  • The Status filter will show you whether an Action is in progress, completed or archived.

  • The is Overdue boxes, tick these to quickly see whether the Actions are overdue or not.

  • Additionally, you can also choose to filter by client and/or carer group

When you make any changes to the filter selection, click Update in the right-hand corner so the report can refresh.

Once you have updated the report with your filter selection, you will see a summary at the top. In this example, there are 574 actions that are due in the next month, 94 that are in progress, 2,834 that are completed and 2,080 results for overdue actions.

To look into more detail on any of these sections you can click on the number. This will show a breakdown of that report number. In this example, this table shows In-progress Actions.

You can see the Status, title, care recipient and a description of the action as well as the date it was created and the due date.

From this page, you have the option to download this specific report. You can do this by clicking the blue Download button on the right-hand of the pop-up. This is useful if you need to review only the actions that are in progress or are overdue.

Once you have reviewed the Actions section you can scroll down to Action forecasting. This section will show you what Actions have been raised in the previous 6 months and what Actions are due to be completed in the following 6 months.

This section is colour coded to show you what has been archived, completed, in progress and what is left to do.

This visibility will enable you to plan out what Actions will need attention over the next few months as well as what Actions have been completed.

To break the report down further there is a Assignee by status table. This shows the names of team members that have been assigned a specific action, how many of those actions are in progress, how many are to-do and the total number. This table is based on what filter options you selected at the beginning.

The final table in this report is the All Actions table. This shows all of the different actions that are relevant to the filters you chose. For example, if you choose a larger time range filter such as a year, you will be able to see a lot more Actions populating the table.
