Clients & Students

Learn how Clients and Students are created in Bobbin.

Students are the users receiving Lessons inside Bobbin (generally the child) and Clients are the users receiving the Lesson Reports and Progress Reports about the Lessons the Students are having (generally the parent or school).

Note: Where are Clients and Students created?

If your Bobbin organization is connected to TutorCruncher, TutorCruncher is the source of truth. Clients and Students are created and edited there and synced into Bobbin, so you won't add or change them in Bobbin.

If you use Bobbin on its own, Administrators add, edit and remove Clients and Students directly in Bobbin - including importing them in bulk from a spreadsheet. See this article for the full walkthrough.

Students

A Student's page will show their basic details, any Lessons/Courses linked to them, and their Progress Reports.

Use the Summary, Progress reports and Lessons tabs to switch between the overview, progress reports and the Student's full Lesson history.

Clients

A Client’s profile displays their linked Students, along with the email notification toggles for each Student.

There are two toggles per Student - Lesson report emails and Attendance emails and they're held separately for every Client and Student pairing, so each Client only gets emails about the Students they're linked to. See Managing Client Email Notification Preferences for a full walkthrough.

Students with more than one Client

A Student can be linked to more than one Client - two parents, for example, or a parent and a school. One Client is always marked as the primary (paying) Client.

On a Student shared between Clients, each Client sees only their own contact details on that Student's profile. One Client's phone number or email address isn't shown to the other.

Students without an email address

A Student doesn't have to have an email address. Younger Students often shouldn't have one on file, and they can be added without one - individually or as part of a spreadsheet import.

A Student with no email address won't receive Bobbin emails or be able to sign in themselves. Everything else works as normal: they can be added to Lessons, join a Lesson space, and have Lesson and Progress Reports written about them, which reach their Client as usual.

Finding people

Each list has a search box, and the filter dropdowns on the larger lists let you type to search rather than scrolling, which keeps things quick for bigger organizations.

Bobbin's global search covers your Students, Tutors, Clients, Courses and Lessons.

Removing a Client or Student

Removing someone takes effect straight away, with the tidying up of their associated data finishing in the background. You don't need to wait on the page for it to complete.

Two things worth knowing:

  • A Client can't be removed while they're still the primary Client of an active Student. Move those Students to another Client first.

  • If a Student or Client works with more than one agency on Bobbin, removing them only removes them from your organization. Their records with other agencies are untouched.
