Learn how to import contacts across multiple teams, manage duplicates efficiently, and impersonate users for direct imports.

Importing contacts at the SuperUser level in Bonzo offers unique advantages, including the powerful capability to import contacts across multiple teams with a single import.

  1. To get started, navigate to the "Import" tab in your navigation sidebar. Here you will see your "Import History," which catalogs all previous and currently pending imports.

    Click the pink "Import" button in the top right and select "Import from file." It's important to note that if you have an existing connection to another CRM, you have the ability to import contacts directly into Bonzo using the "Import from CRM" feature.

  2. When assigning contacts to teams during import, you can view and select a team from the "Select Team" dropdown menu.

    Please note this will assign all contacts in your import to a singular team. To assign contacts across multiple teams in your organization, leave the field blank, drag or drop your database file, and click on any boxes that apply to your import.

  3. Before advancing to the next stage of the import, "Map Fields," where you can direct your import to multiple teams, it's worth understanding the duplication logic in Bonzo.

    When you select the "Merge Duplicates" option (listed above), Bonzo will merge contacts based on the email address, ensuring that duplicate entries are combined rather than creating new records. Additionally, if the "Disallow Shared Duplicates" setting found in your Company tab is enabled, Bonzo will assign the contact(s) to the last user listed in the import file, effectively transferring duplicate ownership.

    Essentially, during the import process, Bonzo processes the list from top to bottom. If duplicates are not allowed and multiple users are assigned ownership to the same record, Bonzo will continuously reassign ownership until it reaches the last entry, which will then retain ownership of the contact.

    To avoid issues with duplicates, ensure your import sheet is edited and scrubbed clean of duplicates, or adjust your settings to allow duplicates if necessary.

  4. Moving on to "Map Fields," you have the ability to assign contacts across teams by mapping "Assignee" to "Assignee (by email)." Simply select or type "Assignee (by email) in the dropdown menu to the right. This will effectively route contacts directly to team members across multiple teams in your organization.

    It's important to note that for this to work effectively, your spreadsheet must include an "assignee" column. This column should be populated with the email addresses that team members use to log in to their Bonzo accounts.

  5. After mapping your fields, proceed through steps 3 and 4 of the import process. Adjust your settings and complete the attestation requirements to finalize the import.

  6. Once the import is completed, you can review the status, which shows the contacts that were successfully imported and those that were not. This status is only visible to you at the SuperUser level and will not be accessible to any other accounts.

  7. Finally, SuperUsers have the ability to impersonate Team Leads and import contacts directly at the team level. To do this, click on "Teams" in your sidebar navigation, then select the team for which you'd like to initiate the import.

    Click on the Team Lead or on a user with the appropriate permissions to initiate an import. Scroll to the right and click on the three dots or breadcrumbs and then select "Impersonate."

    Once you've impersonated the account, you will be able to start the import process, by clicking on "Import" under the "Data" dropdown in their sidebar navigation.


Tips & Best Practices

Prepare Your Spreadsheet:

  • Export Data Fields: Utilize the Quick Action Toolbar in the People tab to export Bonzo's standard column headers. Understanding Bonzo's fields will help you organize your spreadsheet and expedite mapping during the import process.

  • Accurate Field Population: Ensure all necessary fields in your spreadsheet are accurately populated.

  • Cell Phone Numbers: Make sure the phone number column includes only cell phone numbers. For additional numbers, use the "Additional Phone" field.

  • Assignee Column: Include an "Assignee" column with team members' registered email addresses (the ones they use to log in to their Bonzo accounts). This is the most efficient way to bulk move contacts in Bonzo.

  • Clean Data: Clean your data to avoid duplicates unless you plan to handle them within Bonzo.
