SuperUser: Pipelines

Create, manage, and optimize pipelines to streamline workflows and enhance productivity across your organization.

Updated this week

Pipelines at the SU level are designed to guide the flow of tasks and processes across different teams within your organization. SuperUsers have the ability to create, modify, and manage these pipelines to ensure they align with organizational objectives and operational needs.

Understanding the SU Pipelines Tab

  1. For your dashboard, navigate to your general tab, click on the "Content" dropdown, and then click on "Pipelines." Here you will see pipelines split into 3 separate tabs labelled "Default," "Shared," and "Templates"

Default Pipelines: created by authorized members within your organization (team members and team leads), tailored to meet the unique needs of individual teams. Default pipelines are exclusive to the teams that create them and are not shared across the organization. Teams with the necessary permissions can fully manage and customize these pipelines to align with their specific operational requirements.

Shared Pipelines: created by SuperUsers and standardized for use across the entire organization, promoting uniform processes. Typically, shared pipelines are locked, limiting modifications to stages and event messages. They are especially beneficial for large organizations seeking to maintain consistent and streamlined operations throughout.

Templates: developed by Bonzo and or by SuperUsers, these templates are available for distribution across your organization. Team members with the necessary permissions to create and edit pipelines can utilize these templates to craft customized versions tailored to their team's specific needs.

  2. In Default, Shared, and Templates, you have the ability to create a new pipeline by clicking the "+ Create new..." button in the top right of the screen.

  3. By clicking the "Settings" button in the top right, you can configure global settings for both "Default" and "Shared" pipelines. For more specific adjustments, click on an individual pipeline and access its settings directly.

  4. As a SuperUsers you can edit any existing pipelines to update stages, modify event triggers, or refine the workflow. Simply click on the desired pipeline to begin editing. Be aware that making changes to active pipelines could interrupt the progression of prospects or the delivery of event messages.

  5. Scrolling over to the right on a selected pipeline will and clicking on the three vertical dots or breadcrumbs will give you additional management options

Settings: directs you to the local settings for the selected pipeline, providing more options than the global settings such as the ability to lock the pipeline and provide unique events for prospects.

Manage Stages: brings you into the pipeline edit view and allows you to change the order of the stages and edit stage details.

Delete: will delete the pipeline. Any shared team members will also lose access once a pipeline is deleted.

Copy as a Template: makes a copy of the template and brings it into the templates section of your library for further review.

  6. When clicking on the "Import" dropdown in you Templates tab, you will see additional options to create the selected template as a "Default" pipeline (available locally in your SU account) or as a "Shared" pipeline available globally across your organization.

Understanding How to Assign Campaigns and Events to Pipelines:

Campaigns: Attaching campaigns to pipelines can be challenging because campaigns are team-specific. While a SuperUser can set up a campaign at a corporate level, teams need to attach these campaigns individually due to access restrictions. This ensures that campaigns are tailored to the specific needs of each team.

For example:

The above pipeline created by a SuperUser features campaigns attached to the first three stages. When this pipeline is shared organization-wide, teams can see the names of the attached campaigns but cannot view or edit them unless the campaigns are directly imported into their accounts. Additionally, teams need to manually attach these campaigns to each stage of the pipeline.

Events: Instead of campaigns, it’s often more effective for SuperUsers to use events within shared pipelines. Events automatically funnel down to all teams and can include specific actions triggered at various stages of the pipeline.

For example:

As a SuperUser, you have the ability to create event messages, such as SMS, email, or voicemails, and incorporate merge tags to personalize these messages for each team using them and each prospect receiving them. Additionally, you can design messages intended for Coborrowers, Buyer agents, and External contacts linked to the prospects. These messages are automatically included when the pipeline is shared, eliminating the need for manual pairing by teams across your organization.

Handling Pipeline Permissions:

SuperUsers must carefully manage permissions within pipelines to maintain control and ensure security. This includes defining who can view or edit pipelines and under what conditions. For instance, you might allow some team leads or branch managers more autonomy in customizing pipelines while restricting others to prevent unauthorized changes.

For more on managing Pipeline permissions, please see the SuperUser: Permissions & Best Practices article linked in the SuperUser 101 article below.

With pipelines, SuperUsers streamline tasks and processes across teams, aligning them with organizational goals. SuperUsers can create, modify, and manage Default, Shared, and Template pipelines to maintain both consistency and customization. By managing settings, stages, and permissions, and attaching campaigns and events, SuperUsers enhance productivity and coherence, supporting the organization’s operational efficiency.
