Chart of Accounts

Here you set up your chart of accounts — the account numbers that tell your accounting system where to record different types of transactions.

How to get here

  1. Click Bookkeeping in the left-hand menu.

  2. Click Chart of Accounts.

  3. You are now on the Chart of Accounts screen.

1. Review the current account numbers

When the page loads, it fetches your existing settings from the server and fills all fields automatically. If this is your first time here, you will see default values. Take a moment to compare the numbers with your actual accounting system.

2. Enter your account numbers

Each field represents a type of financial transaction. Enter the account number from your accounting system that matches the category.

Account number for sales with VAT

The account where sales with VAT are recorded. Default: 1000.

Account number for sales without VAT

The account where sales without VAT are recorded. Default: 1100.

Account number for fees

The account where transaction fees (e.g. payment processing fees) are recorded. Default: 2400.

Account number for bank

The account representing your bank. Default: 5000.

Account number for credit card payment

The account where credit card payments are recorded. Default: 5050.

Account number for cash payment

The account where cash payments are recorded. Default: 5000.

Account number for cheque payment

The account where cheque payments are recorded. Default: 5000.

Account number for MobilePay payment

The account where MobilePay transactions are recorded. Default: 5000.

All fields accept whole numbers only (0 or above). Negative numbers and decimals are not allowed. Empty fields are accepted, but transactions of that type may not be correctly linked in your accounting exports.

3. Save changes

Click Save changes in the bottom right. The system validates all fields and sends the updated account numbers to the server. You will see a green "Update successful!" notification and remain on the same page.
