In this article, we will go through the Lead List, where you can view and follow all people who have shown interest in your center but do not yet have an active membership.
A lead is a potential customer who may have come from a trial session, a referral from an existing member, or another activity at your center.
From the Lead List, you can get an overview of your leads, search for specific people, filter by status, send emails, and export your leads.
How to get there
Open the Control Panel.
Go to Members in the menu on the left.
Select Leads.
You are now on the Lead List.
Understanding lead statuses
At the top of the Lead List, you will find different tabs that show leads based on their current status.
All
Shows all leads in the system regardless of status.
Potential
Shows leads that have not yet converted to a membership and have not been marked as lost.
This is the default view when opening the Lead List.
Won
Shows leads that have converted to a paid membership.
A lead automatically changes to Won when the person creates a paid membership.
Note: A Drop-In membership does not count as a paid membership and will therefore not change the lead status to Won.
Lost
Shows leads that have not converted within the initial period.
A lead automatically changes to Lost if the person has not converted to a membership within 1 month.
A lead marked as Lost can still convert to a membership within 3 months from the lead creation date. If the person purchases a membership within this period, the lead status changes to Won.
How lead statuses update automatically
Leads are automatically updated by the system based on the person's activity.
When a person is created as a lead, the lead starts with the status Potential.
Examples:
A person is created as a lead
→ Status is set to Potential
A person purchases a paid membership
→ Status changes to Won
A lead is older than 1 month and has not converted
→ Status changes to Lost
A Lost lead purchases a membership within 3 months after creation
→ Status changes to Won
Note: Even if a lead is marked as Lost, it does not necessarily mean the opportunity is closed. The lead can still become Won within 3 months from the creation date.
Working with the Lead List
Search for a lead
Use the search field at the top of the list.
You can search for a lead by entering the person's name.
The list updates automatically while you type.
View lead information
Each lead is displayed as a row in the table.
You can see:
Name
Shows the lead's name, profile picture, and email address.
Referral date
Shows the date when the lead was created in the system.
Class
Shows any classes the lead has attended, including date and attendance status.
Referred by
Shows which member referred the person, if applicable.
Converted to
Shows which membership the person purchased if the lead has converted.
Status
Shows whether the lead is Potential, Won, or Lost.
Open a lead profile
You can open a lead profile by:
Clicking directly on the lead in the list.
Or clicking the three-dot menu (⋮) and selecting View.
You will be taken to the person's profile, where you can view additional information, memberships, and history.
Export leads
You can export your leads to a CSV file.
To do this:
Click the three-dot menu (⋮) next to the search field.
Select Export.
The export uses the filters you currently have selected.
For example, if you only view Won, only those leads will be exported.
Send email to leads
You can send an email to your leads directly from the Lead List.
To do this:
Click the three-dot menu (⋮) next to the search field.
Select Send email to leads.
You will be redirected to the email creation screen, where leads are already selected as recipients.
Filtering and viewing
You can adjust the Lead List view by:
Switching between status tabs
Searching for specific leads
Changing the number of leads shown per page
Enabling compact view to see more leads at once
Troubleshooting
I cannot see any leads
First, check which status tab you are viewing.
For example, if you are viewing Won, only converted leads will be shown.
Select All to view all leads.
Also check that you have selected the correct center in the Control Panel.
My search shows no results
Check your spelling and try searching with fewer characters.
Also make sure you have not selected a status filter that hides the lead.
I cannot find Export or Send email
The options are located in the three-dot menu (⋮) next to the search field.
Click the menu to see the available actions.
I want to delete a lead
Leads cannot be deleted directly from the Lead List.
Leads are managed automatically by the system based on activity and conversion.
