Salary Settlement

Here you review how many hours your employees have worked over a given period.

How to get here

  1. Open Staff in the left-hand menu.

  2. Click Payroll.

  3. You are now on the Payroll List screen.

1. Set the date range

At the top of the screen you see two date pickers.

From — Required. The start date of the period you want to review. Defaults to the first day of the current month.

To — Required. The end date of the period you want to review. Defaults to the last day of the current month.

Select your dates and the table reloads automatically. The selected dates are saved in the page URL so you can bookmark or share the link.

2. Review the employee table

The main table shows one row per employee summarising their total working hours for the selected period.

Name — The employee's name and profile picture.

Lesson — Total time spent on lesson-type shifts. Shown as hours and minutes. A dash (-) means zero.

Personal training — Total time spent on personal training-type shifts. A dash means zero.

Unspecified — Total time for shifts that are neither lesson nor personal training. A dash means zero.

Total — The total time across all shift types for that employee.

Click a column heading to sort the table — click again to reverse. Use the pagination controls at the bottom to navigate and change the number of rows per page (default is 25). Use the Compact view toggle for denser rows.

3. Expand an employee row to see shift details

Click the arrow icon on the right side of an employee row. A sub-table expands showing the individual shifts for that employee.

Lesson — The shift description and date/time when it started.

Time — How long the shift lasted (hours, minutes, seconds).

Pay rate — The name of the pay rate assigned to the shift, or a dash if none.

Type — The shift type (e.g. Clazz, PersonalTraining, or other).

Status — A green Approved chip, an orange Not approved chip, or a red Missing pay rate chip if the employee has no pay rate assigned.

Click the arrow icon again to collapse the detail view.

4. Filter by status tab

Above the table you see the All tab with an employee count. It shows all employees with shifts in the selected period.

5. Select employees

Use the checkbox on the left of each row to select individual employees, or use the checkbox in the table header to select or deselect all at once. When you select one or more employees, an action bar appears above the table.

6. Approve selected shifts

  1. Select the employees whose shifts you want to approve.

  2. Click the tick icon (Approve) in the action bar.

  3. The system marks all shifts for the selected employees as approved.

  4. The table updates automatically when the approval is complete.

7. Export selected shifts to CSV

  1. Select the employees you want to include in the export.

  2. Click the export icon in the action bar.

  3. A CSV file is downloaded to your computer named shifts_[start date]__[end date].csv.

8. Print the page

  1. Click the three-dot menu (⋮) next to the date pickers.

  2. Click Print.

  3. Your browser's print dialog opens.
