What are Property Groups and how do I set them up in BoomScreen

What Are Property Groups?

Property groups are a BoomScreen feature that allows property managers to organize their portfolio's properties into named segments based on geographic criteria. Once properties are grouped, you can assign a single screening template and specific user permissions to an entire group at once — instead of configuring each property individually.

Property groups are especially useful for portfolios that:

  • Operate across multiple states, cities, or zip codes with different local screening regulations.

  • Have jurisdiction-specific screening requirements that require different screening templates by location.

  • Have multiple team members who should only have access to properties in specific regions.

  • Are growing and adding new properties frequently, since new properties are automatically assigned to the correct group based on their location.


How Are Property Groups Organized?

Property groups are currently created based on one or more of the following geographic criteria:

  • State

  • City

  • Zip code

You can combine these criteria — for example, you could create a property group based on both state and city to be more specific. You can also assign multiple states, cities, or zip codes to a single property group. For example, a "Southwest" property group could include all properties in Arizona, New Mexico, and Utah.

Note: Non-geographic segmentation options (such as grouping by owner or property type) are not yet available but are currently in development. Additional segmentation options will be added in a future update.


Key Benefits of Property Groups

Setting up property groups provides the following advantages for your portfolio management:

  • Automatic template assignment — once your property groups are configured, any new property added to BoomScreen that matches the group's geographic criteria will be automatically assigned to the corresponding property group and inherit its screening template. You will not need to manually configure each new property.

  • Streamlined user permissions — instead of assigning users access to individual properties one by one, you can assign a user permission to manage an entire property group. This is especially helpful for large teams with region-specific responsibilities.

  • Consistent screening across locations — assigning one screening template to a property group ensures all properties in that group use the same screening configuration, reducing the risk of inconsistent screening practices across your portfolio.


How to Create Property Groups

To set up property groups in BoomScreen, follow these steps:

  1. Log in to the Boom Partner Platform.

  2. Click the "Property groups" tab in the left sidebar. (This is where all existing property groups are displayed and new ones can be created.)

  3. Select the criteria you want to use to segment your property groups — choose one or more of the following:

    • State

    • City

    • Zip code

  4. Define each property group by specifying which states, cities, or zip codes belong to it:

    • Give each property group a clear, descriptive name (for example, "Pacific Northwest," "Texas Portfolio," or "Chicago Metro").

    • Assign one or more states, cities, or zip codes to each group.

    • Repeat for each property group you want to create.

  5. Assign a screening template to each property group:

    • Select the screening template that applies to the properties in that group.

    • All current and future properties automatically assigned to this group will use this screening template.

  6. Click Save to create your property groups.


How to Assign User Permissions to a Property Group

Once your property groups are set up, you can assign team members permission to manage specific property groups instead of granting them access to individual properties. To do so:

  1. Go to Settings → Users.

  2. Select the user whose permissions you want to configure.

  3. Under their property access settings, assign the user to one or more property groups rather than selecting individual properties.

  4. Click Save to apply the updated permissions.

The user will now be able to manage all properties within their assigned property group(s), and will automatically gain access to any new properties that are added to those groups in the future.


How New Properties Are Assigned to Property Groups

Once your property groups are configured, BoomScreen will automatically assign new properties to the correct property group based on their geographic location (state, city, or zip code). This means:

  • You do not need to manually assign each new property to a group.

  • New properties will automatically inherit the screening template assigned to their property group.

  • Users with permission to manage the property group will automatically gain access to the new property.

Important: If a new property's location does not match any existing property group's criteria, it will not be automatically assigned to a group and will need to be configured manually.


Frequently Asked Questions About Property Groups

Can I create property groups based on criteria other than geographic location?

Currently, property groups can only be created based on state, city, and/or zip code. Non-geographic segmentation options — such as grouping by owner, property type, or other criteria — are not yet available.

Can I sync the property groups from my property management software?

This is supported for some property management softwares. For more information, please reach out to your Customer Success Manager or email support@boompay.app.

Does each property group need to correspond to a single state, city, or zip code?

No. A single property group can include multiple states, cities, or zip codes. For example, you could create a "Southwest" property group that includes all properties in Arizona, New Mexico, and Utah — all three states would be part of the same group and share the same screening template and user permissions.

Can a property belong to more than one property group?

Property groups are designed so that each property is assigned to one group based on its geographic location. If you have overlapping geographic criteria across groups, review your group configuration to ensure properties are being assigned to the intended group.

What happens to existing properties when I create a new property group?

When you create a new property group, BoomScreen will assign existing properties that match the group's geographic criteria to that group. Review your property group assignments after setup to confirm that existing properties have been correctly grouped.

Can I assign a different screening template to individual properties within a property group?

Property groups are designed to apply a single screening template to all properties within the group. If individual properties within a group require a different screening template, consider creating a more specific property group for those properties — for example, a separate group for a specific city within a state — so the correct template can be assigned at the group level.
