Sending the request
1. Open the application. Go to your Applications table and find the applicant you need documents from.
2. Open the action menu. Click the "…" menu next to the applicant's name and select Request documents.
3. Leave a note for the applicant. A note is required. Use it to spell out exactly which documents you need — this is the message the applicant will see on their upload screen, so be as specific as possible.
4. Send the request. Once submitted, you'll see a confirmation that the request has been sent.
Note: You can only have one open request per applicant at a time. If a request is already in progress, wait for the applicant to respond before sending another. Multiple overlapping requests can confuse applicants, so this limit is intentional.
Which applications this works for
You can request documents from applicants with submitted status.
This feature is only available for applications completed through self-service. It is not available on manually created applications.
What the applicant receives
Notification delivery depends on what contact information is on file:
Email address and US phone number on file → the applicant receives both an email and an SMS.
Email address only on file → the applicant receives an email only.
Both the email and SMS include your note and a direct link to the upload screen.
The applicant signs in, completes a one-time passcode verification, and lands on the Upload Documents screen with your note displayed at the top.
If they leave without uploading, a reminder persists at the top of their application details until the documents are submitted.
How you'll know when documents arrive
While a request is open, the application displays a "Waiting for additional documents" banner. If more than one applicant in a group has an open request, each is listed along with the time the request was sent. The banner clears automatically once documents are uploaded.
When the applicant uploads their documents, you'll receive:
A banner on the application with a View document button linking directly to their additional documents page.
An email notification with a link that takes you straight to that applicant's additional documents page.
Both the request and the upload are recorded in the application's activity log.
Managing email notifications
To turn this notification on or off, go to Settings → Notifications and look under Communication with applicants for:
"Notify me via email when an applicant sends additional documents."
This setting is on by default and applies across all your applications.
