Entities Synced Between Bottleneck and QBO

  • Customers

  • Vendors

  • Sales Orders:

    • When exported to QBO, they are treated as "Estimates".

    • Sales Order Line items are linked to inventory/service items

  • Invoices:

    • In Quickbooks, Invoice is linked to corresponding Estimate

    • Once linked, the Estimate in QBO is marked as closed.

    • Invoice Line items are linked to inventory/service items

    • Inventory adjustments are made in QBO to ensure inventory is at the same level as Bottleneck. By default, QBO reduces the inventory when an invoice is opened.

  • Invoice Payment:

    • Once invoice payment is recorded in quickbooks it’s automatically pushed into Bottleneck and reflected on invoice detail page

  • Purchase Orders

    • Purchase Order Line items are linked to inventory/service items

  • Bills:

    • After Bill is exported to QBO, it’s linked to its corresponding "Purchase Order" in QBO.

    • Once linked, the Purchase Order in QBO is marked as closed.

    • Bill Line items are linked to inventory/service items

    • Inventory adjustments are made in QBO to ensure inventory is at the same level as Bottleneck. By default, QBO increase the inventory when a bill is opened.

  • Bill Payment:

    • Once bill payment is recorded in quickbooks it’s automatically pushed into Bottleneck and reflected on bill detail page

  • Inventory Items - Non Tracking:

    • Non-tracking Items are items without a lot code such as water, or packaging you wish to not have tracked by lot.

    • These are exported to QBO as "Non-Inventory Items".

  • Inventory Items:

    • Exported to QBO with a quantity in stock set to zero and a cost of 0. These are considered as canonical "Inventory Items".

  • Inventory Lots:

    • These are exported to QBO with the correct lot code, actual quantity in stock, and cost. They are linked to the parent "Inventory Item" mentioned above.

  • Services: This can include discounts, packaging, and labor

    • Services in Bottleneck are exported to QBO as "Service".

    • They can also be used as a Discount with a negative sales price in QBO.

Side Effects

  • On Entity Update → All entities above are pushed to QBO in live mode, if they are in the published/open state (drafts are ignored)

  • On Ship Job Completed in Bottleneck → inventory stock levels are updated in QBO

  • On Receive Job Completed in Bottleneck → inventory stock levels are updated in QBO
