Understanding Status on the Program Student Page

This article helps you understand the Status column on the Program page and confirms notifications that are sent to parents.

Here are the messages that coincide with the status changes on the program students page:

  • Status = “CLEARED” means paperwork is complete, the Athletic Office has signed off and the student is ready to be rostered and participate in the program activities.
    >When a student is moved to "Cleared" by the Athletic Office a parent/user of the student will receive email communication stating: Your student has been cleared to participate but final play eligibility still depends on your school’s grading, attendance, and conduct standards. Contact your athletic office if you have questions. (This message lets the parent know the student must also be deemed eligible to play - but they have successfully completed the registration process).

  • Status = "Rejected" means something is wrong with the paperwork or the student is ineligible to register for the activity.
    **This "Rejected" status lets you send add a specific note that is sent to the parent so they understand what needs to be fixed/changed or why their student registration was rejected.
    >When a student is moved to "Rejected" the parent/user of the student will receive email communication stating: Your student did not meet one or more requirements for this season. Please reach out to your school’s athletic office to see if anything can be resolved.

  • Status = "Pending" means that a student has started a registration that may or may not be Final. "Pending" students with a Registration Banner that states: FINAL: and the Option name are ready for the Athletic Office to verify the documentation is correct and the student can be marked cleared/rejected/inactive or archived and removed from the program.
    >All students will on the Program>Student page will start with a Pending Status.
    >Should a student status get resaved as Pending or marked back to Pending - the parent/user will receive an email confirmation that states: We’re still processing your student’s paperwork. You’ll receive another update once everything is reviewed.

  • Status = "Inactive" means that a student is inactive on the list and is not currently participating in the activities this season.
    >When a student is marked Inactive the parent/user will get an email communication that states: The student has been marked inactive and is currently not participating in activities this season.

  • Status = "Archived" means your student is not participating in the program this season. When you archive a student you then have the ability to remove them completely from the Program>Students page list.

REMINDER: Each communication that is sent to a parent has an Office Note: (which is customizable).
>Schools should put information in this note they want their parents to see...why the rejection came.
IE: The physical you uploaded is not valid due to... please return to the Family Dashboard and Documents for your student and upload the correct form.

NOTE: When we reject a student as the status - it does not change the cart to pending on the family dashbaord - it leaves the registration status as final - as the cart was final as finished. So the directive needs to tell them what they need to do to get their student cleared for participation.
