Generating Facility Reservation Contracts

How to setup and generate contracts for facility reservations.

With the Facility Manager tool in Bound, you can auto generate facility reservation contracts that are specific to each facility use application. These contracts will include the specific date / time of each reservation, the terms of the contract, any associated costs to the reserver, electronic signature, and billing info to provide your business office. Once you've setup a contract on a Rental Setup, you can easily and quickly generate these contracts each time they're needed.



Setting Up a Facility Reservation Contract

1. Begin by logging in and going to the "Venues" tab on your dashboard.

2. Click the "Rental Setups" tab, and then click the edit button next to a specific Rental Setup (click here to learn how to Create a Rental Setup).

3. Within that Rental Setup, click the "Contract" tab. On this page enter the name of the Entity offering the facilities for reservation (likely the school district), that entities official address, the specific contract terms, and the name and title of an official from that entity.

Once this info is entered, click Save. Now when you go to generate a contract, this info will automatically be added in that contract so you don't need to re-enter each time.



Generating a Facility Reservation Contract

1. Begin by logging in and going to the "Venues" tab on your dashboard.

2. Click the "Reservations" tab, and then click the document button next to the facility use application you'd like to generate a contract for.

3. Click the green + button to add any fees or charges that should be included in the contract. The "Contract Instructions" section is copying in the contract terms we added in the steps above, so make any necessary edits or leave it how it is. Add any other info specific to this contract in the "Additional Details" section, and then click Save to generate the contract.

Generating the contract will notify the reserver via email that a contract has been created, and will allow them to view and sign the contract from their reserver account.

4. Once a contract is generated, the document button next to an application will be green.

5. To view the generated contract, click the green document button next to the rental setup, and then click the "View Generated Contract" button. These contracts can be printed or saved as a PDF using the print feature of your browser.

6. On the reserver side, when a contract is generated they'll be notified by email.

Similar to the Admin side, a green document button will show next to the application in the reservers account.

To view the generated contract, click the "Contract" link. To electronically sign the contract, the reserver will type their name in the "Electronic Signature" section, and then click "Accept" to officially accept the contract. They won't be able to accept the contract until they've electronically signed the contract.

Once a contract is signed, the reservers "signature" and signature timestamp will be automatically added to the contract.

Once a contract is signed and accepted by the reserver, the appropriate people on the admin side will be notified via email that the contract was accepted.
