You can track the location of your people when they clock in within the Rota, Time & Attendance module.

To set this up, head to Settings > Geofencing and tick the β€˜Request GPS location’ box.

If you want to, you can also choose the location & the radius in which your employees will be able to clock in, e.g. within 50 meters of your workplace.

To set this up:

  • Start typing your location's address and select from the map provided

  • Set the radius in which employees are allowed to clock on.

Please note: the minimum radius that can be set is 50m. This is to allow for inconsistencies of devices and Google Maps or if it does not recognise the exact location that has been selected.

Once the location is selected, you will be able to see from the red ring around the location, what radius this distance will cover to confirm you are happy with it.

From here, you can toggle on/off your required location(s) that require geofencing. This is especially useful if you have multiple sites or have people who work out on the road (An alternative is to have these employees enter manual timesheets).

A major benefit of using geofencing is the reduced chance of time theft of your employees by clocking on before arriving on-site for their shift.

Please note: The only location that is captured by the system is the clocking-in location. Clocking out and live location of your employees are not recorded.

Trying to view where a user has signed in to a shift but not able to locate it?

Below is a helpful tutorial on how to view the Geo-location within Rota, Time and Attendance:

The timesheet filter needs to be ticked in order to view this information. These entries will have a yellow hue. If you click on this entry you will be able to view the Geo-location of your employees at the time of clocking into their shift.
