Brindlechute gives you a few different ways to handle new bookings depending on how you run your business. You can send an invoice and wait for payment, confirm the trip right away without collecting payment online, or save everything as a draft until the details are final.
Create a New Booking
Click + New Booking.
You can find this black button throughout Brindlechute.Select an existing client or create a new one.
Enter the client's:First name
Last name
Email
Phone number
If the client has more than one email address saved, use the Contact email dropdown beneath their name to choose which address this booking uses. See How to Set the Contact Email on a Booking.
Turn on SMS subscription so they can receive trip notifications by text.
Add the trip's first experience by clicking + Add experience.
If the booking includes more than one experience, decide whether it belongs in the same trip or a new trip.
Add another experience when the activities belong together in the same trip.
Add another trip when the experiences are not consecutive, take place on different days, or should be separated on the itinerary.To book separate dates, add a trip for each one:
Click + Add a trip
Inside the new trip, click + Add experience and select the experience
Set that trip's date and guest count
Repeat for every additional date
When the days are the same apart from the date, set up the first trip and then click the copy icon on the trip header to duplicate the whole trip. Duplicating copies the experience, guest count, and start time, along with the original date—so update the date on every copy.
A client booking several dates across the season gets one trip per date, all in the same booking. One booking, one invoice, and each date appears as its own trip on the calendar.
You can also add trips to a booking after it has been created. See Understanding the Itinerary Builder: Trips & Itineraries.
Enter the rest of the booking details, including the trip date and guest count.
Once all required details are filled in, the Save button in the top right will turn black. Click Save.
After saving, you will see these confirmation options:
Send Invoice
Add Trips to Calendar (No Invoice)
Keep as Draft
Choose How to Confirm the Booking
Option 1: Send Invoice
Choose this option when you want to send the client a payment request. After selecting Send Invoice, you'll be asked what you'd like to do next with two choices:
Confirm & Send Invoice to Client — Sends the invoice to the client and confirms the booking immediately. The trip appears on your calendar right away.
Send Invoice Only (Confirmation if Deposit Paid) — Sends the invoice but keeps the booking as a draft until the client pays their deposit. Once the deposit is paid, the booking is automatically confirmed.
Option 2: Add Trips to Calendar (No Invoice)
Choose this option if you want to confirm the trip right away without sending an invoice first.
After selecting this option, you can choose one of the following:
Confirm & send notification to client
Use this when you want the booking confirmed immediately and you want the client to receive the normal confirmation email and future trip notifications.Add to Calendar & Skip Notification
Use this when you want to confirm the booking quietly without sending anything to the client right away.
What happens if you skip the notification:
The booking is confirmed immediately
The client does not receive a confirmation email at that time
Future reminders and communication will not send until the pre-trip reminder
This option is helpful when you are collecting payment offline, such as by cash, check, or another manual method.
Option 3: Keep as Draft
Choose this option if the booking is not ready to be confirmed yet.
Use this when:
Trip details are still being finalized
Payment has not been sorted out yet
You want to save your progress and come back later
Draft bookings stay editable and are not confirmed.

Best Practice Tips
Use Confirm & Send Invoice to Client when you want the trip confirmed and the client invoiced in one step.
Use Send Invoice Only when you want to send a payment request but hold off on confirming until the deposit comes in.
Use Add Trips to Calendar (No Invoice) when you want to confirm the trip right away without collecting payment online.
Choose Confirm & send notification to client if you want the client to receive the normal confirmation and follow-up messages.
Choose Add to Calendar & Skip Notification if you are handling payment and communication manually.
Use Keep as Draft when you are still working out trip details.
