Booking clients into a shared trip works like any other new booking. The difference is the dates step: instead of creating a separate private trip, you add the booking's guests as seats in a shared trip that's already scheduled.
Before You Start
The experience must have Default trip behavior set to Shared trips, and the shared trip should already be scheduled. See How to Create a Shared Trip Experience and How to Schedule Shared Trips.
How to Book Clients into a Shared Trip
Click + New booking, then select an existing client or create a new one.
Click + Add experience and select the shared trip experience. To narrow the list, click the Shared trips filter at the top.
In Edit Dates, set Persons to the number of guests on the booking.
Pick the date of the shared trip on the calendar.
Select the Join shared trip tab.
Under Add seats to available shared trips, find the shared trip you want and click + under Add seats once for each guest. The count next to it shows how many seats are left in that shared trip. For example, 4/6 left after adding 2 seats to an empty shared trip of 6.
Click Select. The button becomes available once every guest has a seat.
Enter the rest of the booking details, then click Save and choose how to confirm the booking: Send Invoice, Add Trips to Calendar (No Invoice), or Keep as Draft. See How to Create and Confirm a New Booking.
Reading the Shared Trip List
Each shared trip running on the selected date shows:
Shared trip – the experience's trip type and the shared trip's number for that date, such as Shared wade 1 for a wade trip. When several shared trips run on the same day, this is how you tell them apart.
Add seats – the seats you're adding for this booking, and how many are left
Guide – the guide assigned to the shared trip, and how many bookings are already on it
Time & Duration – when the shared trip runs
Seats – the confirmed and draft seats already taken, and the booking clients they belong to
Once the booking is saved, its itinerary row shows the shared trip it's in using the same trip type, such as In 1 shared wade.
Joining Only Some Days of a Multi-Day Shared Trip
When a shared trip runs over more than one day, the Join tab shows a table for each day of the booking's dates. Each shared trip shows the days it runs, such as Runs Nov 1 - 2, 2026.
A client can join just some of those days. In Edit Dates, turn on Customize start and end days and pick only the days the client is joining. The Join tab then lists only those days. This works for partner bookings too.
Every guest needs a seat on each day you've picked. If a day is short, a warning next to that date shows how many people are still unassigned, and Select stays unavailable until every guest has a seat.
On the shared trip page, the Bookings table shows the days each booking covers under Itineraries, such as Nov 2, 2026 for a booking joining only the second day, and Seats/day shows how many seats it takes each day.
When a Shared Trip Is Full or Not Running
All of a booking's guests join shared trips on the same date. If they don't all fit, a warning shows how many seats you've added and how many people are still unassigned. You can't add seats to a shared trip with no seats left. Instead, either:
Click + Add shared trip to add another shared trip on that date, and add the remaining seats there
Pick another date with an available shared trip
You can also split a booking's seats across more than one shared trip on the same date. Seats aren't spread out for you, so set how many go on each shared trip yourself. For example, for 5 guests and two shared trips with 3 seats left each, add 3 seats to one and 2 to the other. This works the same way for partner experiences. Each shared trip then counts only the seats placed on it.
The booking page also warns you when a day's shared trip seats don't match the number of people in the group, and when a booking puts a shared trip over its capacity. These warnings use the experience's trip type, such as shared wade.
If no shared trip is scheduled for the experience on the selected date, you'll see No shared trips are running for this experience on the selected dates. Pick another date, or click + Add a shared trip for [date] to create one.
Move or Add Seats Between Shared Trips
To rebalance seats across shared trips on the same date, open a shared trip and click Manage shared trip. Every shared trip on that date is listed under Manage shared trips. Click + Add shared trip first if you need another one.
Buttons and headings on the shared trip page use the experience's trip type. For example, a wade trip shows Manage shared wades and + Add shared wade.
Move a seat – Drag a seat from one shared trip's Clients list into another shared trip. Moved seats show a New seat label.
Add a seat – Click + Add seat under a shared trip's Clients list and choose which booking itinerary the seat comes from. Only bookings with an itinerary covering that date can add a seat. If none do, you'll see No booking itinerary covers this day.
For shared trips that run over more than one day, the page has a tab for each day, such as Sun, Nov 1 (2), with the number of shared trips running that day. Seats are managed day by day, so you can split a booking's seats differently on each day.
Seat changes affect bookings, so they aren't applied until you confirm them. Click Save in the banner at the top of the page, or Discard changes to undo them.
Need a private trip instead? Select the Create private trip tab in Edit Dates to give this booking its own trip, even for a shared trip experience.
