How Clients Manage Guests and Participants

Clients manage guests from their itinerary or portal—inviting, adding, or updating participants to keep group details accurate.

Clients can manage who is joining their trip directly from their itinerary and client portal. This helps ensure every participant is accurately recorded without requiring you to handle each detail.


Invite Guests from the Itinerary

On the itinerary, clients will see an Invite Guests button. By clicking it, they can add participants by entering:

  • First name

  • Last name

  • Email

  • Phone number

This adds the guest as a client connected to the trip.

Manage Guests and Participants

Within the Invite and manage guest section of the client portal, clients can:

  • View all current participants

  • Add or invite more guests

  • Add a guest as a minor, if you allow minors as trip participants

  • Uncheck themselves if they are the booking client but not attending

  • Update who is officially listed as a participant

If the booking includes more than one trip date, guests are managed separately for each date. Under Manage guests by day, clients click the date tab (for example, Wed Aug 5 or Wed Aug 12) to switch between trips — each date has its own participant list and available spots, so guests should be added under the date they're actually attending.

Adding a minor: If your outfitter allows minors as trip participants, the Add new guest form includes a This guest is a minor toggle. Email is optional for minors, and an age group selection may be required. See How to Add Minors to a Booking.

This gives clients full ownership of their group roster while keeping your records complete and accurate.

NOTE: All clients added to a trip will receive the pre-trip reminder. Depending on the number of days you set, it is sent before the trip to anyone added beforehand. Outfitters can also click Send next to a client to send their itinerary individually, reducing manual work.


Share the Client Portal

Instead of entering guest details themselves, clients can copy and share a Client Portal link. Invitees can then add their own information, ensuring accuracy and saving time.
