Each partner keeps its own library of policy sets — cancellation terms, a privacy policy, or any other terms that belong to that partner rather than to your outfit. Booking managers pick from this library for each booking, and any set marked as a booking default is added automatically.
How to add a policy set to a partner
Go to Partners in the left menu.
Select Add Partner, or open an existing partner and click Edit.
Scroll to the Cancellation terms section.
Click + Add terms.
Give the set a name — this is what appears on the booking, so name it the way you want staff to recognize it.
Choose how the content is provided:
Link — paste a URL to the partner's policy.
Text — write or paste the policy directly using the rich text editor for formatting (bold, lists, spacing, and so on).
Repeat + Add terms for each further set. A partner can hold as many as you need.
Click Save.
Each set in the list shows its name, a badge for its type (Text or Link), and its content, with Edit and Delete beside it.
Marking a set as a booking default
Under each set is a checkbox: Select this set by default on new bookings. Tick it and that set applies to online bookings automatically, and comes in as the default on offline bookings you build yourself.
Leave it unticked for a set you only want occasionally. It stays in the library, and a booking manager can pull it into a booking when it applies. See How to Change Policies and Terms on a Booking.
Editing the library does not change existing bookings. A booking keeps the policies it had when it was created. If you change a set here, or add a new default, bookings already created — including ones already sent to the client — are unaffected. To change the terms on a booking that already exists, edit the policies on that booking.
Where partner policies display
When working with a booking tied to that partner:
The policies applying to the booking are listed under Cancellation policies in the Itinerary builder, each marked Default if it came in automatically.
Your outfitter-wide cancellation policy appears alongside the partner's sets, so you can see every term that applies in one list.
Clients see them on their invoice and itinerary.
Guides see them on their trip detail page in the guide app.
This creates a clear, unified view of all applicable rules without extra manual steps — and because the library is per partner, each partner's terms stay their own.
