How to Change Policies and Terms on a Booking

Rewrite, remove, or add partner policy sets on a single booking — and what happens when the booking has already gone out.

Policy sets a partner has marked as booking defaults come into a booking automatically. On any individual booking you can rewrite a set's text, remove one that doesn't apply, or add one from the partner's library that didn't come in by default.

Changes here apply to that booking only. The partner's library is not affected, and neither are their other bookings.


How to change the policies on a booking

  1. Open the booking and click Edit at the top right.

  2. In the Itinerary builder header, click Cancellation policies. The dropdown lists every policy applying to this booking, with Default beside the ones that came in automatically.

  3. Click Edit partners' policies at the bottom of that dropdown. The Policies and terms window opens.

  4. Make your changes (see below).

  5. Click Save for this booking.


What you can change

The window shows the partner on the booking, how many sets are on this booking, and how many are in their library. Each set shows its name, its type, a Default badge if it arrived automatically, and its content.

  • Edit — rewrite the text for this booking only. The partner's library keeps its original wording.

  • Remove — drop a set from this booking, including one that came in as a default.

  • Add terms from their library — bring in a set the partner has on file that wasn't added automatically.


Editing a booking that's already gone out

If the booking is already confirmed, or payments have been taken under the current terms, the window warns you before you save.

Saving replaces the terms on every screen the client sees, including an invoice or itinerary they have already received. A client who opens their invoice again sees the new terms, not the ones that were there when they paid.

The text you replace is not kept anywhere. There is no history of the previous wording and no way to restore it, so copy the existing text somewhere safe first if you may need it — particularly on a booking where a client has already paid under those terms.


How booking and library changes differ

  • Editing a partner's library changes what future bookings start with. Bookings that already exist keep the policies they have.

  • Editing the policies on a booking changes what the client sees for that booking right away, and leaves the partner's library untouched.

So if a partner updates their terms and you need an existing booking to reflect that, update the library for future bookings and edit that booking directly for the current one.
