How to Send a Quick Booking Update to a Client

Need to quickly let a client know about a change, like a new meeting time? You can resend the booking confirmation from the booking and edit the message before sending.

Clients will still receive your regular pre-trip reminder with their itinerary before the trip, but if you need to send an update right away, you can resend the booking confirmation and customize the message before sending it. This resend will go out by email, and SMS can also be included when the client has a phone number on file and SMS Subscription is enabled for that client.


How to Send a Quick Update from a Booking

  1. Open the booking you want to update.

  2. In the booking, scroll down near the invoice section.

  3. Click the arrow next to View Invoice.

  4. Select Resend Confirmation.

  5. When the message window opens, update the subject line so the change stands out.

    For example:
    ​​BOOKING UPDATE: Meeting Time Changed

  6. Edit the message body with the details you want the client to know.

    For example:
    Hi there, we wanted to let you know that your trip meeting time has changed. Please review your updated trip details and let us know if you have any questions.

  7. Review the preview on the side, then click Confirm Booking.

The message goes to the booking's contact email by default. To send this one update somewhere else, use the To dropdown in the Sent to section before you send. See How to Send an Invoice to an Alternate Email Address.

Important: The preview on the right shows how your message will appear to the client, so it is a good idea to update both the subject line and message body before sending.

Good to know: Clients will still receive their pre-trip reminder automatically, and that reminder includes their itinerary details. Sending a resend confirmation is a good option when you want to make sure they see an important update right away.
