How to Set Seasonal Online Availability per Experience

Control when and how clients can book a specific experience throughout the year by overriding the system-wide availability settings.

By default, each experience follows your system-wide online availability setup. Overriding at the experience level lets you define custom booking rules and block off dates for experiences that aren't available year-round.


To set seasonal online availability:

  1. Go to Experiences and click on the experience you want to edit.

  2. Scroll down to Online Availability.

  3. Click the Override toggle to enable experience-level settings.

  4. Select an availability type:

    • All Guides — any guide can be booked for this experience

    • Eligible Guides — only guides who are eligible for the experience

    • Slots — based on available slots requested at booking

    • Request to Book — all bookings require approval

    • Fully Blocked — the experience is unavailable for booking

  5. Under Allow Instant Online Booking, enter the minimum number of days before the trip start date that a client can book instantly. Bookings requested inside that window will require approval instead.

  6. Under Set off-season range, click + Add season to define date ranges with specific availability — for example, fully blocking November through December, or accepting request-to-book only during January through February.

  7. Repeat to add additional seasons as needed.

Use the yearly preview to review your availability and off-season ranges across the full year.


Note: If you need to set online availability for almost all of your experiences, we recommend using the Manage by Experience settings. From the Trip Calendar, click Online Availability Settings in the top right, then select Manage Online Booking, and navigate to the Manage by Experience tab.
