When a client books online, someone still has to put guides on the trip. Auto assignment takes that step off your plate: with it enabled, Brindlechute automatically selects guides for each online booking as it's created, and those selections become actual guide assignments when the booking is finalized.
How it works
A client creates a booking through your online booking page
Brindlechute automatically reserves a guide slot for each unit on each trip date
When the booking is finalized, Brindlechute fills those slots with guides — just as if you'd assigned them yourself
From there, everything follows your existing guide assignment settings: depending on your assignment mode and each guide's preferences, guides are either booked directly or sent an assignment request to confirm.
How guides are chosen
For each trip date, Brindlechute matches open slots against your active guides:
Only guides who are available and eligible for the trip are considered
A guide already assigned to another trip that date won't be double-booked
When multiple guides could fill a slot, your guide priority for that trip type breaks the tie — higher-priority guides are assigned first
If a slot can't be filled
If no eligible guide is available for one or more slots when the booking is finalized, the booking still goes through — you'll receive an email listing each unfilled slot so you can assign those guides manually.
How to enable it
Auto assignment for online bookings is opt-in and off by default. To turn it on:
Click your outfitter name in the top left and select Settings
Open the Org settings tab
Under Guide priority and assignment, toggle on AI-assignment
Toggle on AI-assignment for online bookings
Click Update at the bottom of the page to save your changes
Both toggles are required: AI-assignment turns on automatic guide assignment in general, and AI-assignment for online bookings extends it to bookings your clients create online.
Tip: Auto assignment works alongside your guide assignment mode. See Choose How Guides Get Assigned to Trips to control whether guides are booked directly or asked to confirm.
Note: Auto assignment doesn't apply to partner trips.
