How the Locations Availability Setting Works

Base online booking availability on remaining capacity at your locations instead of guide count, and understand how forecasted and reported usage are counted.

The Locations availability setting decides how many online slots to offer based on how much capacity is left at the locations you select. If a selected location still has room, a guest can instant book. If it is full, the booking falls to Request to Book.


Before setting this up

Every location or location group selected in a Locations rule must already have a capacity limit set. Limits are managed under Compliance Hub → Locations — this setting only reads them.

Locations without a limit are treated as unlimited and cannot be selected. A Locations rule also cannot be saved with an empty selection.

How to set up a Locations limit rule

  1. Go to Trip Calendar and click Online Availability Settings in the top right corner.

  2. Click Manage online booking.

  3. Open the System default tab, or use Manage by experience to configure a single experience.

  4. Under Availability settings, set the dropdown to Locations.

  5. Open Advanced settings and use the Select location and Select location group tabs to tick what the rule should count. Both tabs feed the same rule, so a mix of the two is fine.

  6. Click Save.


Reading the location picker

Locations are listed under their parent, with the number of locations shown beside the parent name. Each location displays the limits currently set on it, so there is no need to open the permit to check.

Each limit shows three things:

  • the amount and what it counts — trip units, clients, or total people per group

  • the time window it applies over — per day, per month, or a total across the whole range

  • the date range the limit covers

Use Clear at the bottom of the picker to reset the selection.

Locations with more than one limit

A single location can carry several limits, each covering its own date range, and those ranges can overlap. A location might allow 5 clients per day across a long season and 1 client per day across a short stretch inside it.

When ranges overlap, every limit in range applies at once. Limits are never merged into a single number and none overrides another, so the most restrictive one determines availability for that date. On a date covered by both a 5-per-day and a 1-per-day limit, the ceiling is 1. Once the shorter range ends, only the 5-per-day limit is in range and the ceiling returns to 5.


How locations and groups are counted

  • Within a single rule, the selected locations are treated as alternatives. The booking only has to fit at one of them.

  • Selecting a location group means any location in that group counts. The group stays current as locations are added to or removed from it.

  • A group and individual locations can be mixed in the same rule.


Combining Locations with other limit rules

Click Add limit rule to stack another availability rule below the first. Stacked rules are joined by AND, so every rule has to be satisfied.

The most common setup pairs Locations with Guides set to Eligible guides. It asks two things of every requested date: is there still a free spot at the location, and is there an eligible guide available to run it? A guest is offered instant booking only when both are true.

  1. Set the first rule to Locations and select the locations it should count.

  2. Click Add limit rule.

  3. Set the second rule to Guides.

  4. Open its Advanced settings and switch from All guides to Eligible guides.

Two limits apply:

  • Only one Guides rule can be added.

  • Locations rules do not offer Additional slots. Because location capacity is shared across bookings, extra slots would stack without a real ceiling.


How remaining capacity is calculated

Remaining capacity at a location is its limit, plus any additional capacity that's been added, minus what's already been used.

Usage is counted from two places, and the two are added together:

  • Trips that have already run. When a guide submits a report naming a location, that use counts against the location's limit — as clients, groups, or trip units, depending on what the limit counts.

  • Trips still to come. When a location is assigned to a section on an upcoming trip, that counts too, based on the client numbers on the booking. Nothing has to be reported first.

That combined total is what decides how much room is left. A guest is offered instant booking only if the new booking still fits within it.

As trips run and guides submit their reports, the expected figures are replaced by what was actually reported.

The time window matters here too. A monthly limit counts everything used across the whole month, not just the requested date.

If upcoming trips have already filled every location in a Locations rule, that date stops being instantly bookable. It moves to Request to Book, so the booking can still come through and be accepted by hand.

Worth knowing: A future trip with no section assigned uses no capacity. That makes a date look more open than it really is, so availability is only as accurate as your section assignments.


Dates outside every limit range

A limit only counts on dates inside its range. If a booking date falls outside every limit set on a location, that location reads as unlimited for that date rather than as full, and the Locations rule places no ceiling on it.

This is worth watching on locations whose limits cover only part of the year. A location that passed the capacity check at setup stops constraining anything once its date ranges have run out. Extending the range, or adding a limit that covers the rest of the season, keeps the rule doing its job year-round.

Worth knowing: Unlimited location capacity does not mean guaranteed instant booking. Any other rule stacked alongside it — a Guides rule, an off-season range, or the instant booking cutoff — still applies.


Where this setting is available

The Guides and Locations options can only be selected by full outfitter organizations. They are disabled for other organization types.


Basing availability on locations keeps online booking aligned with the capacity that actually constrains trips — permits, beats, blinds, or any other limited ground — instead of guide count alone.
