The booking client is the primary client on a booking — the person the booking belongs to. They receive the booking's communications and the client portal is theirs.
If the booking needs to belong to someone else, you can change it. Whoever you select becomes the primary client from that point on.
Open the booking
From Bookings — click Bookings in the left sidebar and select the booking.
From the Trip calendar — click Trip calendar in the left sidebar, click the trip, then click Manage Booking.
Change the booking client
On the booking detail page, click Edit in the top right.
Click the client's name.
Find the client you want. If they're not in your system yet, create them here.
Click Save — the Edit button becomes Save once you're editing.
What follows the new booking client
Scheduled messages — anything still queued is reassigned automatically. Nothing to reschedule by hand.
The client portal — the portal for this booking is now theirs.
The invoice — the booking keeps the same invoice. It isn't reissued or renumbered when the booking client changes.
The audit trail — the change is logged under Edits, and appears in All, naming who made it and when. The entry reads changed the primary client.
Payments collected before the change
Payments already collected stay with whoever paid them. On the Audit trail tab, under the Payments filter, each charge is listed under the name of the client who was charged. Click View detail and Client charged names the person whose card was used.
The Booking client field on that same screen always shows the booking's current client, not who it was when the payment ran. So an older charge can read Client charged: [previous client] and Booking client: [new client] at the same time. Both are correct — one is a record of the payment, the other is the state of the booking.
What it doesn't change
Changing the booking client does not update the trip detail. Whoever was marked attending stays marked attending. What the change does is move the booking itself to the new client — that's where the messages go, and whose portal it is.
In the client portal, the new booking client appears in the guest list as not attending. This doesn't affect the invoice and doesn't add an attending client — the booking's client count only changes if you edit the booking to add one.
The previous booking client's existing portal link also keeps working. It opens the booking portal showing the new booking client's details.
If you only need a different person to pay, you don't need to change the booking client at all. You can charge any client on the booking directly — see How to manage multiple payment methods to one invoice.
