There may be times when you need to change a client associated with a booking — whether you're replacing the client with someone new, correcting an error, or updating your records.
These steps change the trip roster — who is listed as going on the trip. They don't change the booking client, the person the booking belongs to. To change that, see How to Change the Booking Client on a Booking.
Option 1: Edit from the Trip Calendar
Go to your Trip Calendar.
Click on the trip you want to update.
Select View Trip Detail.
Under Manage Trip by Day, find Clients.
From here you can:
Replace a client by selecting a different name from the dropdown list.
Add a new client by choosing from your list or creating a new one if they’re not yet in your system.
For multi-client trips, use the “Select a Client” vacancy dropdown to fill open spots.
Option 2: Edit from the Bookings Page
Go to Bookings from your dashboard.
Click the booking you want to edit.
In the Itinerary Builder, click View Trip.
Under Manage Trip by Day, scroll down to Clients.
From here you can:
Click Clear to remove a client.
Select a different client from the dropdown to swap them.
Use an empty client dropdown to add a new client.
If a client didn't show up
A spot on a trip can be left empty, but it cannot be filled without selecting a client record. If someone booked a spot and did not show up, you do not need to create a placeholder or dummy client to make the numbers work.
Instead, record the number of people actually guided in the guide report. This keeps the guided client count and guide pay accurate even when a spot has no client attached to it — for example, a booking for three where only two anglers showed up.
💡 Tip: To record people guided without adding a client record, use Log headcount in the guide report. See Adding Missing Clients in a Guide Report.
If the trip still shows as incomplete
The booking total stays the same when someone doesn't show up, so anything tied to that spot stays on the trip — the no-show's own client tasks, or any other checklist item that was created for them. Those stay open and keep the trip from moving to completed.
Once everyone who was actually there is accounted for, whatever is left behind is tied to a person who was never on the trip. Delete those items from the trip checklist and the trip moves to completed. See Delete a Task from a Trip Checklist.
