A class is a trip that clients book into and share with the other guests on it, instead of each booking getting its own private trip. Schedule classes ahead of time from the Trip calendar, and bookings join them.
Before You Start
Only experiences with Default trip behavior set to Class trips can be scheduled as classes. See How to Create a Class Experience.
How to Schedule Classes
Click Trip calendar in the left sidebar.
In the top right, click Classes, then click + Schedule classes.
Under Experience, select the class you want to schedule, then click Next. Only experiences set to Class trips appear in this list.
On the calendar, pick the first run's start and end dates. The label above the calendar shows the experience's itinerary setting, such as Flexible days · All day.
Under Repeat, choose Does not repeat, By day, By week, or By month. If you choose a repeat option, set Every to the interval (for example, every 2 weeks) and pick a Repeat ends on date. See Repeat Options below.
Set Classes per day using the − and + stepper.
Optionally, choose a Guide and a Location. Both can be left unassigned.
Check the summary on the right. It shows how many runs and classes will be created, with each run listed by month. Remove any run you don't want, or restore one you removed.
Click Schedule [number] classes. You can schedule up to 500 classes at a time.
Repeat Options
Each repeat copies the first run at the interval you set:
Does not repeat – Only the first run is scheduled.
By day – A new run starts every set number of days after the first run's start date. For a class that spans several days, runs can overlap.
By week – A new run every set number of weeks, on the same weekdays as the first run. For example, a Thursday-to-Saturday first run repeats Thursday to Saturday. The weekdays come from the first run's dates and can't be picked separately.
By month – A new run every set number of months, on the same day of the month. In a shorter month, the run falls on the last day and then returns to the original date. For example, Jan 31, Feb 28, Mar 31.
When the Repeat Ends
Runs that would end after the Repeat ends on date aren't scheduled. If you don't pick a date, it defaults to a set length after the first run ends:
By day – 1 week
By week – 2 months
By month – 6 months
Once you pick an end date yourself, it stays the same even if you change the repeat option.
Where to Find Your Classes
On the Trip Calendar
Scheduled classes appear only in the Classes view of the Trip calendar. They don't appear in Client view, Guide view, or Locations.
Each class card shows the experience name, the number of classes and clients booked, the assigned guide, seats taken, and the time. Seats taken counts the clients in the class against the total seats. For example, 0/6 means no one has joined a class with six seats. The total seats come from the experience's Number of clients per guide. As bookings join, each booking client's name appears under the guide with the number of seats their booking takes.
On the Trips Page
Click Trips in the left sidebar, then open the Classes tab. Classes are grouped into Active, Completed, and Canceled, with columns for Experience, Date, Classes, Class status, Bookings, and Booking client.
Filter by Client, Trip Date, Experience, Trip type, or Class status.
Open a Class
Click a class on the Trip calendar's Classes view to see a quick view with its seats taken, class status, assigned guide, guide report, location, start time and duration, tags, and the bookings it has seats from. You can change the guide, location, and tags right there.
Click Manage class to open the full class page. You can also open it from the Trips page's Classes tab. The class page shows:
Bookings – the bookings that have joined the class
Manage classes – each class on that date, with its seats taken, class status, and Trip manager. Click + Add class to add another class on the same date.
Class detail – the guide assignment, guide report, location, meetup and time, tags, and trip notes
Checklist – the class's checklist tasks
Clients – one row per seat, showing which booking the seat comes from, the client in it, and their task status. Use Select client to name the guest in an open seat, and the action buttons to complete tasks or send an itinerary or reminder.
To move a seat to another class on the same date, drag it into that class's Clients list. To add a seat, click + Add seat and choose which booking itinerary the seat comes from. Only bookings with an itinerary covering that date can add a seat. Seat changes aren't applied until you click Save in the banner at the top of the page, or Discard changes to undo them. See How to Book Clients into a Class.
