Brindlechute’s calendar is designed to give outfitters and guides a clear and flexible view of everything in motion. Whether you’re planning weeks out or managing availability for tomorrow, the calendar adapts to your needs.
Calendar Views
At the top of the calendar, you’ll find three key views:
Monthly View
A high-level overview—ideal for spotting trends, availability gaps, and planning logistics across weeks.Schedule View
This is your weekly list-style view. It displays the upcoming seven days in a scrollable format, great for seeing what's next at a glance.Daily View
A focused layout showing all activity for a specific day. You can toggle between:Triplist: Shows trips scheduled for that day.
Guide Availability: Shows which guides are booked or available.
Calendar Filters
The monthly view includes a robust set of filters to help you drill down quickly:
Guide
Client
Experience
Trip Manager
Booking Status (Confirmed, Settled, Canceled)
Booking Payment Status
Trip Status
Guide Payment
Use these filters to zero in on what’s ready to go, what needs action, and who’s involved.
Availability Stats Bar
Below the filters, a stats bar summarizes guide and trip availability for whatever date range is currently in view (for example, the visible month). The same bar appears on both the Trip Calendar and the Assignment Calendar. The label on the left (for example, "Availability – September 2026") just shows which range the stats to its right cover.
Total trips — the number of trip units (each guide-needing leg of a trip, not each whole booking) scheduled in the visible range. Canceled trips and partner-linked trips aren't included in this count.
Unassigned — of those trip units, how many don't have a guide assigned and don't have a pending guide request either.
Avg guides open / day — the average number of guides per day who have some open capacity — fully available or partially available — across the visible range, rounded to a whole number.
Guide utilization — the percentage of your guides' working days that were actually booked. A day counts as "working" for a guide as long as they weren't marked fully unavailable, and counts as "booked" if they were fully booked or partially booked that day.
Days with no guide open — the number of days in the range where every guide was either fully booked or fully unavailable, meaning no guide had any open capacity that day.
Note: A fully booked guide counts as "booked" for Guide utilization, but doesn't count as "open." A busy day can raise utilization while still showing zero open guides — the two stats aren't simple inverses of each other.
In Daily View
Switching either calendar to Daily replaces the range stats with counts for that single day, grouped into trips and guides.
Trips
Total trips — trip units scheduled that day. Assigned and Unassigned together make up this number.
Assigned — trip units with a guide assigned.
Unassigned — trip units with no guide assigned and no pending guide request.
Partner — partner-linked trip units, counted separately and not included in Total trips.
Guides
Open — guides with their full day available.
Partially open — guides with a timed trip or a partial block, who still have time free.
Fully booked — guides whose day is filled by trips. This can be one full-day trip, or two half-day trips covering both the morning and the afternoon.
Fully blocked — guides with blocked time covering the whole day, set either by the outfitter or by the guide. See How guide calendar blocking and permissions work.
Note: Every guide falls into exactly one of the four groups, so the four counts add up to your full guide list. On the Assignment Calendar, the Open and Partially open counts also appear as summary rows inside the grid in the wider views — see Use the assignment calendar to organize guides and trips.
Online Availability Settings
Located in the top right of your calendar, control when trips can run and how bookings appear online.
Manage Online Booking — Configure availability settings, instant booking cutoffs, and off-season ranges for how clients book online.
Integration — Preview and connect your online booking flow to your website.
See Online Availability Settings for the full walkthrough of both.
Client View, Guide View, and Locations
You can toggle between three perspectives depending on what you're managing:
Client View: See availability and bookings from the client's perspective.
Guide View: Focuses on staff scheduling and availability.
Locations: Shows section and location usage — track slots booked against total capacity for permitted areas. See Track Location (Section) Usage in Your Trip Calendar for more.
This toggle helps streamline communication, scheduling, and permit tracking across your operation.
Summary, Trips, and Trip Units View
Next to the Client view / Guide view toggle, click the list icon to choose how much detail each day's cards show:
Summary — the most compact option. Each day shows counts grouped by trip readiness status (for example, Ready, In Progress, Unassigned trips), with no client or guide detail.
Trips — shows one card per trip, with the client name, aggregate guide and client counts, experience, and time.
Trip units — the same cards as Trips view, but each trip unit is broken out into its own row, showing that unit's assigned guide (or Unassigned) along with its own time and duration. If a section or location has been assigned to that unit, it appears on the card as well. This is especially useful on multi-guide trips, where each guide's individual schedule shows separately instead of being combined into one count.
Clicking into Trips
Click any client name or guide name directly on the calendar to open a quick-view tab. From there, you’ll see two options at the bottom-right:
View Trip Detail – Review or assign guides, see client lists, check documents, confirm meetup location and time, and view notes for day-of details.
Manage Booking – Edit experience dates, add add-ons, review invoice summaries, and access transaction or communication history.
Additional Navigation Tools
Navigation Arrows (next to the Client/Guide View toggle) expand or collapse client name visibility.
Date Scope Toggle (far right) lets you flip through months or days, depending on your current view.
