Overview
Streamline your workflow by mentioning team members directly in comments. Whether you're coordinating on a transaction, delegating tasks, or providing updates on documents, mentions ensure the right people are notified instantly. This keeps deals moving forward and prevents important details from getting lost in busy schedules.
Adding a mention
Type
@followed by any letter in the comment boxSelect a user from the dropdown list
Complete your message and post
Adding a link
Type or paste a web address into the comment box and post. The address becomes a clickable link.
To link words instead of showing the full address:
Highlight the words in the comment box.
Click the Add link icon that appears above them.
The Title shows the words you highlighted. Change them if needed.
Enter the address in URL and click Save.
Links open in a new browser tab.
Secure links only
Only secure addresses (starting with https://) become clickable. The URL field starts with https:// already. An address that starts with http:// stays as plain text.
Links from integrations
Integrations that post comments through the BoldTrail BackOffice API can include clickable links. For example, Compliance AI posts its review of a document as a comment on that document, with a link that opens the review.
Mentioning users not in the transaction
If you mention someone who doesn't have access to the transaction:
A pop-up will ask if you want to add them to the transaction
Choose their role (if applicable) and click "Add"
They'll get email notifications and can now view and reply to comments
Viewing the mentioned users
Hover over any mentioned name to see their user info
Click the name to pin the info card for a few seconds
All mentioned users appear in the Contacts section below the comments
Notifications
Mentioned users receive email notifications with:
Location details (task, document, or transaction)
Comment content
Important: Email notifications are for alerts only. You cannot reply directly to the notification email to respond to comments or mentions. All responses must be made within the transaction itself. All mentions appear in both the General Activity and Transaction Activity pages.
