Reports: Carts

This article will guide you on how to use the Carts report on the New Back Office.

The Carts report shows you the open cards your clients have left behind: what is in them, what they are worth, and who to follow up with. It replaces the Basket report in the back office.

New to Reports? How to use a Report covers the buttons and controls.

It helps you answer questions like:

  • How much revenue am I leaving on the table in abandoned carts right now?

  • Which clients have the largest unpaid carts, so I know who to call first?

  • What are people putting in their carts and not buying?

  • Are abandoned carts going up or down compared with the same period last year?

  • Which of these clients already have a class booked, and which have gone quiet?

What this report replaces

This report replaces the back-office Basket report.

Everything that report showed is here, plus two columns it never had: Number of Items and Created At.

Before you read the numbers

The reporting period. The date range filters on when the cart was created, not when the client last added something to it. The default is the last 6 months.

💡 This is the biggest difference from the back office. The old report had no date range at all: it always showed every open cart, however old. Here you are looking at a period, so your totals will normally be lower than you remember, and older carts will not appear until you widen the range.

The comparison. Each KPI box compares the period you have selected against the equivalent earlier period, so you can see whether abandoned carts are growing or shrinking.

What's always excluded. Four kinds of cart never appear, whatever you filter on. If your count looks lower than expected, this is almost always why:

  • Carts that have already been paid for.

  • Carts opened by a staff member at the till (quick sales).

  • Carts belonging to a staff or manager account rather than a real client.

  • Empty carts. A cart with nothing in it is not shown, not even with a zero total.

⚠️ If your studio is set up to clear abandoned carts automatically after a number of days, that clear-out empties the cart rather than deleting it. An emptied cart drops out of this report, including for periods in the past. So a period you looked at last month may show fewer carts today.

What a row means

One row is one open cart, which in practice means one client. A client can only have one open cart at a time, so a client never appears twice.

The KPIs

KPI

What it shows

Total Cart Amount

The combined value of every open cart created in the period, including VAT / sales tax.

Number of Clients

How many different clients have an open cart from the period.

Number of Items in Cart

The total number of items across all those carts.

Average Price per Cart

The average value of one open cart, including VAT / sales tax.

Columns

Column

What it shows

Client Name

The client who owns the cart. Click the name to open their profile in the back office.

Cart Amount

Total value of the cart, including VAT / sales tax and discounts. This is the full cart value, with gift cards and prepaid credit not deducted, so it is not always what the client would pay at checkout.

Cart contents

The items in the cart, listed by name.

Number of Items

How many separate lines the cart contains.

Created At

When the cart was created.

Client Email

The client's email address.

Client Phone Number

The client's phone number.

Client Previous Booking

The client's most recent past class, so you can see whether they are still active.

Client Next Booking

The client's next upcoming class. Empty if they have nothing booked.

Client Gender

The client's gender, as recorded on their profile.

Client Date Joined

When the client joined your studio.

⚠️ Client Previous Booking and Client Next Booking cover group classes only, so appointments are not counted. They also include bookings the client later cancelled, which means a date here is not proof they attended.

Filters

Filter

What it does

Total Amount

Limits to carts in a value range, for example everything worth more than 100.

Client Name

One or more specific clients.

Client Email

One or more clients, by email address.

Client Previous Booking

Clients whose last class falls in a date range. Useful for finding clients who have drifted away.

Client Next Booking

Clients whose next class falls in a date range.

Client Date Joined

Clients who joined in a date range, for example to look only at newcomers.

Group By

Group by

Use it to answer

Client

Which clients have abandoned the most cart value in total.

Created At

Whether abandoned carts are building up over time. Choose the step: day, week, month, quarter or year.

Grouped rows give you:

Summary column

What it measures

Number of Carts

How many open carts fall into the group.

Total Cart Amount

Their combined value, including VAT / sales tax.

💡 Grouping by client is useful to see clients that have abandoned and rebuilt a cart several times over a period.

Matching your old back-office report

Basket

To reproduce it: set the date range wide enough to cover every cart you care about. The old report had no date limit, so no range matches it exactly.

What's different

  • The old report had no date range. It was a live snapshot of every open cart. This one always covers a period, so unless you widen the range to cover everything, you will see fewer carts and a lower total. This accounts for nearly every mismatch.

Downloading

The download gives you exactly what you are looking at: your columns, your filters, your date range, and the summary view if you are grouped. Available as Excel, CSV or PDF.

Data freshness

On Report pages, data is refreshed on an hourly basis.

Permissions

Access follows your existing back-office report permissions. Everyone who can see this report sees every establishment in your company.
