Reports: Purchases

This article will guide you on how to use the Purchases report on the New Back Office.

The Purchases report is the record of everything you have sold: passes and products on invoices, gift cards, on-demand videos, shop stock and the discounts you gave away. It replaces eight separate back-office reports, spread across five views.

It helps you answer questions like:

  • What did I sell last month, and what did it bill?

  • Which clients spend the most, and what do they buy?

  • How much of my gift card money is still sitting unspent?

  • Which videos are people buying, and are they watching them?

  • What is my shop actually making after what the stock cost me?

  • How much am I giving away in discounts, and on which promotion?


What this report replaces

This one report covers eight back-office reports. The Report control at the top switches between five views, and three of the eight are reached by grouping a view rather than by a view of their own.

Before you read the numbers

Five views, one switch. The Report control moves between Purchases, Gift Cards, On-Demand, Retail and Discounts. They describe genuinely different things and share almost no columns, so nothing carries over when you switch. Set your filters again afterwards. Purchases is the default.

The reporting period. The date range applies to all five views, but each one anchors it on its own date: the invoice date on Purchases, the purchase date on Gift Cards and On-Demand, the date the stock moved on Retail, and the date the discount was applied on Discounts. The default is the last 6 months.

The comparison. Each KPI box compares the period you have selected against the equivalent earlier period.

Money includes VAT / sales tax everywhere unless the column says otherwise. Several money columns come in both forms.


Purchases

One row is one product line on one invoice. An invoice with three items on it is three rows. This is the view to use for "what did I sell", and it is deliberately finer than one row per invoice.

What's always excluded from this view.

  • Gift cards. They are sold like anything else, but they have their own view, so they are left out here to stop them being counted twice.

  • Placeholder invoices that carry no products at all.

  • Free lines, meaning ones with no list price and nothing billed.

  • Membership instalments that were cancelled before anything was ever paid on them.

Short Invoice ID

A shortened form of the invoice reference. Click it to open the invoice in the back office.

Invoice Date

When the invoice was issued.

Product Name

The product billed on this line. Click it to open the product, where it has a page of its own.

Client Name

Who bought it. Click it to open their profile.

Client Email

Their email address.

Amount Billed

What this line actually billed, after discount, including VAT / sales tax.

Product Category

The category the product sits in. Blank for the kinds of product that have no category, such as coupons, fees and refunds.

Product Type

What kind of product it is: Group class Pass, Appointment Pass, Retail, Pack, Voucher, Account Balance, Fee, Discount or Refund.

Paid Amount

This line's share of what has actually been paid on the invoice. On a part-paid invoice the payment is spread across its lines in proportion, so it is not "this line was paid".

Tax

The tax rate applied to the line.

Product Price

The list price before any discount, including VAT / sales tax.

Amount Discounted

The discount taken off this line, including VAT / sales tax. Shown as a positive number.

Voucher Reasons

Why the discount was applied, such as Promo code: SUMMER or Pack discount. Where more than one applies they are joined with +. Blank when nothing was discounted.

Author Email

The staff member who created the invoice.

Amount Billed Excl Tax

Amount Billed with VAT / sales tax removed.

Billed Tax Amount

The tax in Amount Billed.

Paid Amount Excl Tax

Paid Amount with VAT / sales tax removed.

Payment Method

How the invoice was settled. It describes the whole invoice, so it repeats on every line of it.

Last Payment Date

The most recent payment received against the invoice.

Invoice Legal Identifier

The invoice's legal number, in whatever format you have set up.

Invoice Status

Where the invoice stands: Paid, Open, Draft, Refunded or Voided.

Invoice Paid Amount by Payment Method

What has been received on the invoice, split by method, such as Cash: 20.00, Payment Card: 30.00. It describes the whole invoice, so it repeats on every line and must not be added up.

Client Phone Number

Their phone number.

Client Gender

Their gender.

Client Sign-up Date

When they joined you.

Is First Purchase

True on a client's very first purchase with you.

Is From Membership

True when the invoice was raised by a membership. It describes the invoice, so a one-off item added to a membership invoice also reads True.

Billing Location

The billing location the invoice was raised under.

Venue Address

Address of the venue the invoice belongs to.

Staff Commission Fee

Commission due to the staff member who created the invoice, worked out from their commission rate and this line's billed amount, including VAT / sales tax.

Staff Commission Fee Excl Tax

The same with VAT / sales tax removed.

Franchise Fees

The franchise commission on this sale, including VAT / sales tax. It is your commission rate applied to the amount billed. This is an indicative figure: it is not deducted from Amount Billed, Paid Amount or any other column in this report.

Franchise Fees Excl Tax

The same with VAT / sales tax removed.

Bookkeeping Account Name

The accounting account the line is booked to. Only filled in if you use bookkeeping accounts.

Bookkeeping Account Number

Number of that account.

⚠️ Unpaid and reversed invoices are included. This view measures what you billed rather than what you took, so Amount Billed counts an invoice whether or not the money ever arrived. Paid Amount and Invoice Status are what tell you the difference. If you want a collection view rather than a sales view, use Reports: Invoices.

💡Is First Purchase looks at the client's whole history, not just the period on screen. Because gift cards are left out of this view, a client whose first ever purchase was a gift card has no row flagged as their first here.

Gift Cards

Set Report to Gift Cards. One row is one gift card someone bought, not one row per gift card in your catalogue.

💡Cards that were never activated, cards that have expired and purchases that were later reversed all appear, exactly as they did in the back office. Is Reverted, Is Expired and Activated At are how you tell them apart.

The KPIs

All four are about the cards bought in the period, so the last two keep moving after the period is over as the recipients spend them.

⚠️ Remaining Amount is money you have taken but not yet delivered against. It is a useful figure to watch, and it falls over time without the period changing, so two exports of the same past month will not match.

On Demand Duration in Seconds

How long the video is.

Number of Views

How many times this client has watched this video. It is an all-time count, not limited to your period.

Last Viewed At

When they last watched it. Blank if they never have.

Client Phone Number

Their phone number.

Client Gender

Their gender.

Client Pass Name

The pass the credits came from.

Client Pass Price

What the client paid for that pass.

Client Pass Remaining Credits

Credits left on that pass today.

Client Pass Billing Location

The billing location the pass was invoiced under.

💡A purchase with zero credits is not an error. Where On Demand Credit Price is 0, the video is bundled with any eligible pass, so the client "bought" it without spending anything. Filter Number of Used Credits to a minimum of 1 to see only videos people paid credits for.

Retail

Set Report to Retail. ⚠️ One row is one stock movement, not one sale. A sale, a delivery arriving and a staff member correcting a count by hand are all movements and all get a row. Is Sale and Is Manual Adjustment are how you tell them apart, and Number of Units Sold is 0 on anything that is not a sale.

What's always excluded from this view. Items that are not currently on sale in your shop. On the current webshop that means items that cannot be bought as they stand, such as a parent item whose colours and sizes carry the real stock. The back office left the same items out.

Sale Amount

Revenue from this movement, at the item's current price, including VAT / sales tax.

Cost of Sale

What those units cost you, at what you currently pay for the item.

Gross Profit

Sale Amount less Cost of Sale.

Supplier Name

Who you buy the item from.

Retail Item Barcode

The item's barcode.

Retail Price

What the item sells for today.

Retail Supplier Price

What you pay for it today.

Retail Current Stock

Stock held for the item today, across every movement it has ever had. It belongs to the item, so it repeats on every row for that item and must not be added up.

Is Retail Disabled

True when the item has been withdrawn from your catalogue.

Retail Disabled Date

When it was withdrawn.

Is Sale

True when units left the shelf for a client.

Is Manual Adjustment

True when a staff member corrected the count by hand. These never count as sales.

Where the movement came from.

⚠️ Revenue is valued at today's prices, not the price on the day. Because Sale Amount multiplies units by what the item sells for now, putting an item's price up restates the revenue on every past sale of it. The back office worked the same way, so the two agree, but a figure you noted down last month can change. The same applies to Cost of Sale and therefore to Gross Profit.

Discounts

Set Report to Discounts. One row is one discount applied. A promotion used forty times is forty rows, and a basket with two promotions on it is two rows.

💡Discount amounts are positive here. The back office showed them as negative numbers. A total reading 1,240 means you gave away 1,240, which sorts and groups the way you would expect when you are looking for your costliest promotion.

Tax

The tax rate on the discount.

Coupon Type

How the code was come by: General code, Unique code per usage, Referred client grant or Referring client grant.

Coupon Voucher Type

Whether the promotion takes a fixed Amount off or a Percent off. This is the column that tells you which of the next two applies.

Coupon Percent Off

The percentage the promotion takes off. Filled in whether or not it is the one that applied.

Coupon Amount Off

The fixed amount the promotion takes off. Filled in whether or not it is the one that applied.

Is Cart Finalized

True when the basket carrying the discount was paid for. Blank when the discount came through a membership or an invoice rather than a basket.

⚠️ Referral rewards are counted as discounts here. Both sides of a referral are issued as coupons, so they appear alongside your promotions and add to Total Discount Amount. To see promotions on their own, set Coupon Type to General code and Unique code per usage. Reports: Client Referral covers referrals properly, with the reward as well as the discount.

⚠️ Discounts on baskets that were never paid for are counted too. Someone who put a code into a basket and walked away still produces a row. Set Is Cart Finalized to True to leave them out, but note that this also drops discounts that came through a membership or an invoice, because those have no basket and the column is blank for them. To include discounts that came through a membership or an invoice, then you need to filter Is Cart Finalized to True and Null.

What's different

  • First name and Last name are now one column, Client Name.

  • Account top-ups now appear. The old report deliberately left out money a client put onto their account balance. Here those lines are included, with Product Type reading Account Balance. Filter them out if you want the old figure.

  • Passes are labelled differently. What the old report called a standard pass now reads Group class Pass, which is what your clients call it.

  • There is a Paid Amount column, and it needs care. The old report only told you when the last payment landed. Paid Amount gives you a figure, but on a part-paid invoice with several lines it is that line's proportional share rather than a statement that the line itself was settled.

  • There is no time-of-day filter. The old report let you narrow to invoices raised between two times of day. If you need to filter on the hour in a spreadsheet, see Splitting date and time in Excel.

What's different

  • This is the Purchases view grouped by Client, so what you get is the group key plus the summary columns. The per-line columns of the ungrouped view are not shown.

  • First name and Last name are now one group key, Client.

  • The last day of your date range is now included. The old report quietly stopped at midnight at the start of your end date, so a whole day's purchases were missing from every run. Expect slightly higher figures here, and they are the correct ones.

  • Clients who never confirmed their email now appear. The old report dropped them entirely, however much they had spent. This is usually the largest difference in the client count.

  • Your quick-sale client now appears. The old report deliberately left out the placeholder client that anonymous counter sales are billed to. Here it is listed like any other client, under its own name, so treat that row as your till rather than as a person.

  • Gift cards are no longer counted in the totals. The old report folded gift card lines into the number and value of products purchased; here they live in their own view.

  • Unpaid invoices now count towards the totals. The old report only counted products on invoices that had received a payment, so its product count and value were effectively "paid for" figures. Use Paid Amount and Payment Rate to get back to that view.

  • Total of payments is not reproduced exactly. The old column summed the payments actually received from that client in the period. Paid Amount adds up each purchase line's share of what its invoice collected, which lands close but is not the same calculation. For payments as payments, use Reports: Payments.

  • You now get Remaining Amount. The old report gave you the price and the amount consumed and left you to subtract one from the other.

What's different

  • This is the Gift Cards view grouped by Gift Card Name, so what you get is the group key plus the summary columns.

  • The old Date of creation has no equivalent. It was the date the catalogue gift card itself was created, whereas Purchased At in the ungrouped view is the date a card was bought.

  • The date range now applies, and this is the big one. The old report ignored the date pickers completely: every count and total covered the whole life of the gift card. Here everything is limited to cards bought inside the period you have selected, so your numbers will be far smaller. Widen the range to cover your whole history to get back to the old figures.

  • Expired and deferred value are now one column. The old report split what was left over into an expired bucket and a still-valid one. Remaining Amount is the two combined; group by Is Expired as well to split them again.

  • The expired figures are now worked out properly. The old report decided what counted as expired using a date that could be days or weeks stale, and cards expiring on the day itself fell into neither bucket. That is fixed.

  • Withdrawn gift cards now appear. The old report only listed gift cards still in your catalogue, so withdrawing one erased its whole sales history from the report.

  • The activated and unactivated counts are gone as columns. Group by Activated At, or filter on it, to get at the same thing.

  • You now get a redemption rate and a count of distinct buyers, neither of which the old report had.

What's different

  • First name and Last name are now one column, Client Name.

  • The credits column is now the credits actually charged. The old Cost (in credits) column showed the video's price today, so changing a video's price rewrote what every past buyer appeared to have spent. Number of Used Credits is what the client really paid at the time. On Demand Credit Price is still there if you want today's list price.

  • Unique views really are per client here. The old column was labelled unique views but counted every one of that client's plays. Number of Views is honest about being a count of plays by that client.

  • The old Price column is gone. It showed the price of the pass, not of the video, which was misleading. Client Pass Price carries it under a name that says what it is.

  • Rental Access Days is new, alongside the rental flag and expiry the old report already had.

  • This is the On-Demand view grouped by On Demand Name, so what you get is the group key plus the summary columns.

  • The date range now applies, and this is the big one. The old report ignored the date pickers: its purchase and view counts covered the whole life of each video. Here they cover the period you have selected, so expect much smaller numbers, and widen the range to reproduce the old ones.

  • Only videos somebody bought appear. The old report listed every video in your library, including ones that had never sold. A video with no purchases in your period has no rows here at all.

  • Videos you have deleted now appear, if they were bought in the period. The old report left them out.

  • Unique views means something different. The old report counted distinct viewers of the video. Group by Client as well, or read Number of Clients, which counts distinct buyers

  • The video rental filter now works. In the old report it matched every video whatever its setting, so filtering by it did nothing. Is Rental filters properly.

What's different

  • This is the Retail view grouped by Retail Name, so what you get is the group key plus the summary columns.

  • Items you withdrew before the period now appear. The old report dropped any item disabled before your start date, so switching an item off erased the sales it had made inside the period. Those sales are back, which is the main reason your revenue may read higher. Is Retail Disabled lets you exclude them.

  • Items with no category now appear. The old report silently dropped anything not filed under a category.

  • Items that had no movement at all no longer appear. The old report listed every item, with zeroes. Here a row exists only where stock actually moved, so your item count is lower and reflects what traded.

  • The stock columns are different. The old Starting stock, Closing stock and Cost of stock columns are not here. Retail Current Stock gives you stock today, and Stock After Movement gives you the running stock in the ungrouped view, which is more useful and does not suffer the off-by-one day the old closing figures did.

  • You now know who bought what. The old report had no client at all. Client Name is on every sale, and you can group by Client.

  • You now get a margin rate, and the ungrouped view gives you the individual movements behind each total, which the old report could never show.

What's different

  • Date and Time are now one column. Applied At carries the full timestamp.

  • Discounts are positive, not negative. The old report rendered them as negative numbers. Nothing else about the figure has changed.

  • Referral rewards are now included. The old report deliberately left both sides of a referral out, showing only codes people had entered. Set Coupon Type to General code and Unique code per usage to get the old list back. Expect a higher discount total until you do.

  • Discounts on abandoned baskets are now included. The old report only counted a discount once the basket had been paid for. Set Is Cart Finalized to True and Null to exclude them

The download gives you exactly what you are looking at: your view, your columns, your filters, your date range, and the summary if you are grouped. Available as Excel, CSV or PDF.


Data freshness

On Report pages, data is refreshed on an hourly basis.


Permissions

Access follows your existing back-office report permissions. Everyone who can see this report sees the whole company. The Purchases and Gift Cards views narrow by Billing Location and the On-Demand view by Client Pass Billing Location, either as a filter or as a Group By.
