Setting Up and Using the Tagging Function

Introduction

If you need a more detailed breakdown for reporting and analysis, you can use the tagging function to categorise transactions by project, branch, department, salesperson, campaign etc. This makes it easier to track, filter, and compare performance across different segments of your business.

For instance, suppose your company operates under a single SSM registration number and has three branches: Kuala Lumpur, Seremban, and Johor Bahru. By tagging transactions according to branch, you can later filter and compare reports to see how each branch is performing.

In this guide, we will walk you through this process step by step, using this branch example to show:

  1. How to set up tags in the Control Panel

  2. How to assign tags to transactions

  3. How to filter and compare reports using tags

Creating Tags

Navigate to Control Panel > Tags.

Step 1: Create a Tag Group

  1. Click + Tag Group.

  2. Enter a Tag Group Name (e.g. Branch).

  3. Click Save.


Step 2: Create Tags Under the Tag Group

  1. Click + Tag

  2. Select the Tag Group (Branch)

  3. Enter the Tag Name (e.g. Kuala Lumpur)

  4. Click Save

  5. Repeat the steps to create the following tag names:

    1. Seremban

    2. Johor Bahru

Once completed, all branch tags will appear under the Branch tag group.

Editing, Deactivating, or Deleting Tags

Editing a Tag

  • To make changes to a tag name, locate the tag from your list and click View. Then, update the details as needed.

Deactivating a Tag

  • To temporarily remove a tag from active use:

    • Find the tag you want to deactivate, click the three dots next to View, and select Deactivate.

  • This is useful if the tag is no longer offered but has been used in past transactions.

  • To reactivate a deactivated tag:

    • Tick on Include Inactive to display deactivated tags.

    • Locate the tag, then click Activate to bring it back.

Deleting a Tag

To permanently delete a tag that has no transactions:

  • Step 1: Locate the tag you want to delete, and click the three dots next to View and select Deactivate.

  • Step 2: Tick on Include Inactive to display deactivated tags, find the deactivated tag, click the three dots next to View, and select Delete.

Using Tags in Transactions

  • When recording transactions, you can assign the relevant tag to categorize them accurately.

  • Example: When creating a Sales Invoice, select the appropriate branch tag in the Tags field to link the transaction to that branch.

  • You can apply the same approach to other transaction types, ensuring that every transaction is properly organised.

  • Tags are primarily for reporting purposes and will not appear on the PDF of a transaction.

Filtering Reports Using Tags

  • Tags can be used to filter and analyse reports by branch.

  • You can filter any report in Bukku using tags to display only transactions linked to a specific tag or set of tags.


Filtering Reports by a Specific Branch

  • Example: To view a Profit & Loss Report for a specific branch, go to Reports > All Reports > Profit & Loss.

  • Use the Tags filter to select the branch you want, such as Kuala Lumpur, and generate the report.

  • Only transactions tagged with the selected branch will appear, allowing you to focus on the performance of that specific segment.

Comparing Performance Across Branches

  • Example: To view a Profit & Loss Report for a particular segment, go to Reports > All Reports > Profit & Loss.

  • You can compare performance across multiple branches by selecting the Branch tag group in the Comparison field.

  • This allows you to view and analyse the results of multiple branches side by side in a single report, making it easier to identify trends and differences in performance.

Frequently Asked Questions (FAQ)

Q1: How can I track sales by salesperson for commission?

  • You can use Bukku’s Tag function to assign a salesperson to each sales transaction. Later, you can generate the Sales by Tag report to see total sales per salesperson and use this information to calculate commissions.


Q2: I’ve added tags to my transactions. Will they show on the PDF transactions?

  • No, tags are only for reporting and filtering purposes—they do not appear on PDF transactions. If you want information to show on the PDF transactions, you can use a Custom Field instead. For more details, see: Setting Up Custom Fields.
