Add, enable and disable projects

Allow employees to assign expenses to projects

If an employee makes a transaction for a specific project, they can assign that expense to the project while adding expense details.

To add projects, select the Settings tab in the left panel.

Select the Business tab, then the Manage projects page.

Individually add projects

You can individually add projects by selecting the Add project button. In the Add project pop-up, you can enter details about the project:

Required details

  • Project name

  • Categories: Select expense categories allowed for the project.

Optional details

  • Subproject name

  • Project code

  • Project approver: Select the employee that’s responsible for approving expenses assigned to this project.

  • Description

Once you’ve filled in the details, select the Add project button.

The new project will be added to the list on the page. You can use the search bar to search for a particular project.

Bulk add projects

You can also bulk add projects. Select the arrow icon within the Add project button, then the Bulk add project link in the menu that appears. In the Bulk upload projects pop-up, select the Download template button to download an Excel template you can use to add the details of multiple projects.

Once you’ve completed the Excel template, select the Upload file button to import your projects. They’ll populate within the list on the page.

Disable projects

If a project is no longer in use and you don't want it to show as an option to employees adding expense details, you can disable it. In the enabled column of the list, switch the corresponding toggle off.

You can re-enable the project at any time by switching the toggle on.

To enable or disable multiple projects at once, select the checkbox of the projects then switch the toggle on or off.

If you’d like to disable projects entirely, select the Disable button on the top right corner of the page.

Filters

By default, the list only shows enabled projects. Select the Yes button under the Enabled label to remove the filter and display all enabled and disabled projects. To apply additional filters, select the filter icon.

Set project-based approvals

If you have an approval process based on projects in your business, you can apply project approvers and set a workflow so the expenses go through the same approval process on Expense Management.

Select one of the existing projects or create a new project.

In the pop-up, select the employee you’d like to be an approver.

Select the Update Project button to save the approvers.

You’ll need to enable project approvals on the Set project approvals page to make sure the reports with expenses assigned to a project are routed to the project approvers.
