Create and Print Name Badges

Design custom badges for your event and print them for attendees

Name badges help students and families connect with staff, group leaders, and fellow attendees during your event. You can customize badges with names, session details, group assignments, QR codes, and more. Once your design is complete, you can print badges directly from your event.


Create a new badge design

  1. Navigate to the Content area and select Badges.

  2. Click Add New Badge.

  3. Enter a badge name that helps you identify the design later (for example, "Fall 2026 Orientation").

  4. Choose a badge template.

Use a pre-built template

CampusESP includes several Avery badge templates to help you get started quickly.

  1. Select the Avery template that most closely matches the badge paper you'll be using.

  2. Continue customizing your badge design as needed.

Customize your badge design

Use the badge editor to add and arrange different elements on your badge.

Add shapes

Shapes can help organize information or highlight important details.

When adding a shape, you can:

  • Adjust the border color

  • Change the border width

  • Remove the fill color

  • Select a custom fill color

Add static text

Static text appears the same on every badge.

Examples include:

  • Fall Orientation 2026

  • Welcome Student

  • Check-In Desk

You can customize the:

  • Font style

  • Font size

  • Text alignment

  • Text color

Add personalized attendee information

Dynamic text automatically displays information for each individual attendee.

Available fields include:

  • First Name

  • Last Name

  • Entry Term

  • Admissions Category

  • Major

  • College

  • Athletic Status

  • Instruction Modality

  • Assigned Session

  • Assigned Event Group

You can also customize the font style, size, alignment, and color for dynamic text fields.

Add images

Use Image to upload and place graphics on your badge, such as:

  • Institutional logos

  • Event branding

  • Background images

  • Sponsor logos

Add QR codes for check-in

This option is available when Event Check-In is enabled.

Add each attendee's unique QR code to their badge to streamline event check-in and attendance tracking.

Save your badge design

Once you're finished designing your badge, click Save Changes.

You can preview the badge to confirm that all elements appear as expected before printing.


Print badges

After your badge design is complete:

  1. Navigate to Event Groups or your event.

  2. Open the event associated with your badge.

  3. Click Print Badges in the upper-right corner.

  4. Select the badge design you want to print.

  5. Choose Print Assigned Users Only if you only want badges generated for attendees assigned to groups.

  6. Download the PDF file.

  7. Print the PDF using your badge paper or Avery template.
