ClearDent - How to manage Office Hours?

Manage your Office Hours in ClearDent, so that it best syncs to CareCru

Here is a quick guide to configuring your Office Hours schedule table in ClearDent. 

It is a must for your Office Hours schedule in ClearDent to be accurate, because it will be synced to CareCru to be used for your patients to submit Online Booking Requests.


1. On ClearDent’s main screen, click on the center of the Calendar icon

2. The ‘Scheduler’ window will appear. Click on the ‘Setting’ button, then ‘Schedule Settings’

Here is an example of a Practice with the following Office Hours, and how to set them up:


Monday - Tuesday: 8am to 8pm

Wednesday - Thursday: 8am to 5pm

Friday: 8am to 1:30pm

Saturday: 8am to 12pm (alternating Saturdays i.e. they’re usually only open on the Saturday of every EVEN numbered week e.g. Week 26. For reference, there are either 52 or 53 weeks in a year.)

Sunday: Closed


3. In the ‘Schedule Settings’ window that appears:

Ensure that the days, on which your Practice is regularly open, are check-marked under the ‘Regular Work Week’ section. (Saturday is NOT a regularly open day for this Practice, in this example.)

4.  Next, click ‘Change Office Hours’

Notes:

  • If you currently have multiple entries for the same day(s), this will cause conflicts with syncing to CareCru, and may cause issues in Cleardent itself.

  • Either delete the duplicates and then Modify the entry for the respective day you’d like to change, or delete all the entries and start from scratch

5. Here are examples of how to set up those Office Hours mentioned above:

  • Since Mondays and Tuesdays are open on the same hours (8am to 8pm), they can be setup in 1 entry like this:

  • Since Wednesdays and Thursdays are open on the same hours (8am to 5pm), they can be setup in 1 entry like this:

  • Only Fridays are open from 8am to 1:30pm, so it would be setup like this:

  • Saturdays are NOT regular Office Hours for this Practice, in this example. They’re usually only open on the Saturday of every EVEN numbered week e.g. Week 26 of year 2019

  • Thus, to achieve that result, select a Saturday from any past EVEN numbered week at the ‘Range of Recurrence’ section >> ‘Start’ date drop-down menu.

  • In this example, the Saturday from Week 22 of year 2019 was selected: June 1, 2019.

  • EXTRA: If the Practice only opens on Saturday on an ODD numbered week, pick a Saturday from any past ODD numbered week instead.

  • Exceptions - If you want to make exceptions to this rule and close an upcoming Saturday on which the Practice was supposed to be open, you can add that date at the ‘Exception Dates’ drop-down menu.

  • In this example, the Practice was supposed to be open June 29, 2019, but they made an exception to close it instead.

  • If you wanted to make an exception to close other days (e.g. Tuesday), just Modify the other day’s respective rule (open the ‘Monday & Tuesday’ rule since it covers Tuesday, in this example.)

  • Sundays are closed. Thus, you would set its status to 'Non-Working' and then set the the 'Hour Start' and 'Hour End' to close the whole work day:
