How to check in patients using the Virtual Waiting Room?

Follow this step-by-step guide to virtually check in your patients

Now that you have activated the virtual waiting room, let's walk through the steps on how to check in patients using this feature.

Steps on Virtual waiting room -

  1. 1 or 2 hours prior to the patient's appointment, patients receive an SMS instructing them to text HERE once they arrive. This message template is customizable, however only the word HERE check-ins patients into the Waiting room, so we recommend that this word be retained on the message.

  2. When patients arrive and reply "HERE" to that reminder message, their name and appointment details will appear on the Waiting Room tab located on the left of your Dashboard.

3. When the laboratory/room has been cleaned and sanitized, the staff responsible for sanitation must Click on Cleaned. Note - this step is for internal communication only.

4. After receiving the go-ahead from the cleaning team (Checkbox marked as Cleaned), the staff responsible for receiving patients will Press Notify to send a message to the incoming patient confirming they can come into the practice.

This message is customizable so you can modify the message or send the default message.

5. These messages will go directly into the closed conversation lists and won't re-open closed conversations.

6. If the patient has already received a previous Notification, the button will show Re-Notify. You'll be able to send another message by pressing on Re-Notify. This is helpful if the patient has accidentally ignored your first notification to come in.

If the patient hasn't arrived after several notifications attempts, click on the patient's name to see his/her contact phone number and call him/her.

7. When the patient arrives, select the button that appears on the left side of the name to complete the check-in.

Make sure to only select the check-in button once the patient has entered your practice, otherwise, his/her name will disappear from the Waiting Room tab on the Dashboard. If you selected the button by accident, read this article to
