Tracking information logged via phones into information module – (When and by whom daily or weekly) for example overruns are a schedule change and you either decide that someone updates the schedule prior to financials (Either you do it or someone else does it lol)
If KM’s are logged these are displayed in schedule planner a person can process this at this stage or you can leave to the financial processing aspect (That depends on volume of KM claims if it is a lot then get someone to do this if not then we can do it so to at least demonstrate the process).
The easiest way to track services is as follows;
Use planner to see statuses change and look for warnings.(Started/Completed/Assign/KM’s/Cancelled)Use planner to publish shifts and make changes to the week as it happens and or services in the future. By focussing on this week it easier to drill down the workUse planner to see when KM’s are being loggedIn Planer services that are not signed tell me that the SW is not using their phone. If this occurs NAGS will appear 14mins and 9mins after the fact, meaning a scheduler tracks nags to inform if SW’s are doing it properlyNAGS information tells a scheduler a SW is logging either a case note or overrun or something elseNAGS finance will appear when someone has logged a KM claim – this helps a schedule know that they cannot update schedule and approve KM’s if that is what you want them to do.All services after completion of shift time generate a visit reportUse Schedule> Availability by date if you are scheduling a person out in the future and would like to know if they are available before creating a visit ora service requestSchedulers should use 2 screens to toggle between information module & schedule
Other recommendations
Service Users>Access Accounts can be used for Participants and stakeholders to see the shifts of the participants. This may either reduce or increase communications but generally once in a groove it minimises communications
To drill down the week of who and what is happening I use keywords search in planner using the @symbol. Or more effectively I can click onto a request and go to service users profile and then click services requests to see the participants services. Alternatively I toggle with a second screen and go to a service users profile to see all their service requests.
If a shift or a whole bunch of services need to be re rostered and changed long term then maybe create an Information heading for SW’s to select this and they can write what changes are required to inform the scheduler to either call or to change the schedule using schedule>Service requests
