Charge Bands are what you charge for services provided. They are configured with prices for various times of the day and days of the week so that the correct rate is automatically calculated based on when a service is performed. 

Charges may be paid by individuals, plan managers or they may be claimed from the NDIS. Careflo comes with some standard pre-configured charge bands which can be modified, but if these default Charge Bands don’t meet your business requirements, you can create additional ones.

From the Admin menu, go to Finance and select Charge Bands. The list of existing Charge Bands is displayed. 

At the top of the screen, press Add Charge Band to create a new one. Mandatory fields are highlighted in red and turn green once completed.

Enter the Charge Band Name.This needs to be something that you will easily identify when linking to Service Visits.It may mirror an NDIS charge rate name.

If required, enter the Filter Key. The filter key allows you to select the charge band for in your drop-down menu for the different types of service requests you deliver. 

Enter one letter per filter item:

  • B = Brokerage

  • P = Private

  • N = NDIS

  • A = Aged Care Package.

If more than one filter is required, enter the letters with no spaces between them, so Private and Aged Care Package would be “PA”.

'N' = charge band appears in NDIS service requests, 

'BN' = Combinations appear in Brokerage and NDIS service requests

'BPN' = Brokerage, Private and NDIS service requests.
Use Boost to alter the display order of this item in the list, where 9999 is the highest value.

Press Submit to save the new Staff Pay Band. The list of Staff Pay Bands will be displayed.

Set up the Rates for the Charge Band.Each Charge Band in the list has up to two buttons: Toggle and Rates.

  • Toggle: alters the status of the Pay Band from Active to Disabled and vice versa. The current status is displayed beneath the Pay Band’s name in green for Active, or red for Disabled.

  •  Rates: Complete each field and press Submit to return to the Charge Band list. The timebands for each rate are:

Monday to Friday Early Rate: Midnight – 8am - Also known as “Active Overnight” as the Support Worker is awake.
Monday to Friday Day Rate: 8am – 8pm
Monday to Friday Late Rate: 8pm – Midnight
Overnight Rates (all days): 10pm – 6am - This is an automatic 8-hour charge, usually used on a one-off basis.
Saturday 24 Hour Rate: 12am - Midnight
Sunday 24 Hour Rate: 12am - Midnight
Public Holiday: 12am - Midnight

Each rate has a corresponding code that relates to the NDIS charge codes (Support Item Number in PRODA) listed on the NDIS Pricing Guide.This connects the code with the rate making it easier to claim. Participants and Plan Managers will be able to check that you are charging the correct price and code.
