How do I add a stakeholder to a service user? For example a GP, doctor, next of kin, primary contact.

This article shows you how to create a new stakeholder as well as how to link a stakeholder to a service user, and how to update it.

A stakeholder is a person with a link to the service user such as a primary contact, parent, GP and so on. A single GP person for example can be linked to many service users because multiple people can have the same doctor. You need to set the relationship between the stakeholder and service user each time because one person's GP can be another person's parent for example.

There are two ways of adding a stakeholder to a participant where the second way should be the norm:

  1. First way: Adding a brand new stakeholder and link to the participant directly in the Service User screen. You only do this if the stakeholder has never been added to Careflo before. This will create the stakeholder as a person in Careflo AND setup the link between the stakeholder and participant. Do not do it this way if the stakeholder already exists otherwise you will have duplicates. Tip: If you are not sure, go to the stakeholder screen and search for them first. More on that is described in the Second way below.

  2. Second way - Creating a stakeholder link to a participant by selecting an existing stakeholder. Do this unless you are certain the stakeholder is not already added to Careflo, for example when first setting up the system. 

Remember you only do this if the stakeholder has never been added to Careflo before. This will create the stakeholder as a person in Careflo AND setup the link between the stakeholder and participant. Do not do it this way if the stakeholder already exists otherwise you will have duplicates. Tip: If you are not sure, go to the stakeholder screen and search for them first. More on that is described in the Second way below.

This should be the normal way unless you are just setting up the system.
Steps:

  1. Go to Service User (SU) module -> Stakeholders

  2. Search and Select the stakeholder - If doesn't exist then select to Add.

  3. Click "Link to Service User"

  4. Select the Service User and the relationship (for example "Next of Kin"

  5. Click the Service User module from left hand side menu

  6. Select the button "All Service Users" and select the Service User (the one you just added)

  7. View the stakeholder relationship being correctly setup

When you need to update the next of kin and primary contact to change the display on the NDIS funding section

Go via the service users page>stakeholders and update existing contact, add a new stakeholder.

Ensure you select the correct menu option and the mobile/phone number is correct.

The NDIS funding section where it says primary and next of kin is only a display based on what you’ve entered into the stakeholders section.

If you update that, then the display would then change in the NDIS funding section.

Please note the contact details will only display (works) when there is a correct phone number for that stakeholder.
