In recent months TellUS updated its workflow as a result, CareSmartz also updated the functionality and process to post the data to TellUS.

On TellUs Data Post report there are 6 New fields "Procedure Code", "Diagnosis Code", "TellUs Status", "Reason Code", "Schedule Status" and "Bill Status". Each field will show the different details related to the shifts. Now, this information is not only CareSmartz specific but TellUS also receives this information and then the status gets changed. Our system auto-posts the data to TellUS within 60 minutes when clocking in/out happen over the course of the shift.

Note: Only shifts that are associated with the TellUS Payer get posted. Auto-post will not post the record which appears under Worklist to release. Users need to manually post the data to TellUS and that manual post will show the record under Worklist to release.

Procedure Code: It will show the procedure code details present in Payer profile Billing tab. Always make sure that this filed is not empty and showing the data before you post it to Tellus to avoid the rejections.

Diagnosis Code: This information is present/added in Client profile Claim Code tab and once done the Sync it will get associated with the shifts and start appearing in report. Always make sure that this filed is not empty and showing the data before you post it to Tellus to avoid the rejections.

TellUs Status: It will show the details regarding the shifts Status in CareSmartz360. Once the Billing is done with correct payer it will show the HOLD status and once data posted to Tellus it will change to COMP.

There are 7 statuses that you will see and they will get updated as you follow the process and shifts details get changed.

NEWS (Newly Scheduled): New Shift gets created in system.

INPR (In Progress): Clock in done and In Progress as clock out not done yet.

HOLD (Hold): Once the Billing is done with correct payer it will show the HOLD status and once data posted to Tellus it will change to COMP.

COMP (Completed): Once the data is posted to Tellus for the billed shifts it will turn COMP from HOLD.

UNSR (Cancelled): Shifts that are cancelled by client or caregiver and shift status is Cancelled.

UNBL (Unable to complete): When caregiver unable to give care to the client due to any reason or shift was not covered by any caregiver.

RESC (Rescheduled): When shift start end time was changed as per the client request or as per agency requirement.

Schedule Status: It will show the shift status that presents in CareSmartz (Approved, Cancelled by Client, Needs Review, Scheduled etc).

Bill Status: It will show empty if billing not done yet in CareSmartz. It will show the Billed or Partially Billed status once billing is done.

Note: Billed appears when invoice is generated for client all payer and Partially Billed appears when an invoice generated with only Primary payer which is required. This status will not affect the amount ever and only shows the Billing status. Always make sure that this filed is not empty else while posting system will keep giving error till you done the Billing.

Reason Code: This is only Mandatory in Florida state. This field will only show the record when editing the shift details and the system asks for the reason codes or when the caregiver missed the clock in/out and the user enters that manually, the system will ask for the reason code.

There are two scenarios of reason codes Missed visit and Visit edit. For missed visit, the reason code will be asked when entering the clock in/out time manually by the user. Visit edit reason code appears when making any changes in the shift timing and other details like caregiver, service type etc.

Shifts must be associated with finalized batches as only then will the TellUS Status in the report will show COMP and then the user needs to post the data Manually. Once post the data click on Show Details under View and it will show the details of Auto posted and Manually posted with status.
