Working documents and published documents
The Quality manual consists of two system modules: Workbook (working documents) and Published documents. All handling and processing of documents — editing, formatting, and revision — takes place in the Quality manual's Workbook. The status of documents in the system is indicated in four different ways: In progress, Completed, Published, and Rejected. When a document is marked as Completed, it goes through an approval process where it is reviewed, refined, and confirmed before being finally published as a quality document. If any issues are identified before publication, any party involved in the approval process can reject the document and return it to the in progress stage. Once a document is published, it appears in Published documents.
Documents with scheduled reviews
When a published document is approaching its review date, the system sends a reminder email to the parties designated for the review. The document is then reviewed in the working documents module and either republished unchanged if no changes are required — with an incremented version number, indicating that it has gone through a review — or returned to In progress so that the necessary changes can be made. The document is then marked as Completed again, restarting the approval process, which concludes with publication.
Published documents that are due for review or currently under review can be monitored using the By status view in the working documents module, and also on the dashboard under Reviews if that option is enabled.
