Keeping an accurate inventory of your customers’ belongings is a key part of running a smooth, professional move. Chariot makes it easy to document, update, and access inventory details all in one place—whether you're preparing for a job, managing storage, or handling a claim. In this guide, we’ll walk you through how to add items, organize them by room or category, and ensure your team always knows exactly what’s being moved or stored. Let’s get started!
Simplified Room Management
With Chariot, managing rooms and their respective inventory has never been easier. The Inventory tab gives you a clear and flexible way to track your customer’s belongings—whether it’s for a move, storage, or documentation purposes. This tool allows you to add items, assign them to specific rooms, and keep everything organized in one central place.
Here’s how to get started with searching and managing inventory items:
Use the search bar at the top of the Inventory tab to quickly find items, like "table" or "sofa."
Expand the results menu to view more options from your default inventory list.
Don’t see what you’re looking for? You can manually add a new item, including optional details like volume and weight.
When adding a new item, you have the option to save it to your default inventory list, so it’s easy to find next time.
Once items are added, you can:
Assign them to a specific room using the room dropdown menu.
Create a new room if the one you need isn’t listed.
Reassign unassigned items at any time using the three-dot menu and choosing “Reassign to Room.”
This workflow helps ensure your inventory stays tidy, room-specific, and easy to manage for both moving day and customer reference.
Speed up Inventory Intake with Keyboard Shortcuts
After typing in the search bar, press your down arrow (↓) and up arrow (↑) to select an item from the list.
Once highlighted, press ENTER to add an item (press multiple times to add multiple. Or, use the LEFT-ARROW (←) and RIGHT-ARROW (→) to increase and decrease the item count.
When done searching/ adding items, press the ESCAPE key to reset the search (the cursor will stay in the search bar). This works if you just click to add an item from search as well!
Inventory Dimensions
As you add items from the default inventory list, Chariot will automatically calculate the total volume (in cubic feet) and total weight (in pounds) for the inventory. These values are pulled directly from the item data that’s already built into the system.
However, if you manually add an item—like a custom piece of furniture—and don’t enter any size or weight details, that item won’t contribute to the totals shown at the top of the inventory.
If you notice that your total volume or weight seems off, or you’d like to make adjustments, you can:
Toggle on the Override option.
Manually enter the correct cubic footage and/or weight in pounds for that specific item or for the inventory as a whole.
This feature gives you the flexibility to ensure your estimates are accurate, especially when working with custom or oversized items that may not be included in the default list.
Add Notes, Videos, and Photos
Box Packing in Inventory
Whether your team is doing the packing or the customer is, you can track each box type clearly and accurately.
Here’s how to add boxes to your inventory:
Use the search bar to find common box types.
If you’ve already selected a room from the dropdown, the boxes you add will be assigned to that room automatically.
You can also use the "Boxes" tab to filter the inventory by packing type:
CP = Company Packed
PBO = Packed by Owner
For example, if your customer packed their own boxes, you can select the PBO tag to choose from a list of common box types, such as crates, dish packs, or book boxes.
Once you’ve selected a box:
Use the plus sign to quickly increase the quantity, or
Click into the item to edit the quantity and dimensions manually.
Note: If your account is set up to sync packing charges with inventory items, selecting boxes will automatically pull the packing charges into the estimate. This helps ensure your estimate reflects the full scope of services provided.
