How do I reserve a date or send an invoice for a client who hasn't booked yet?

Proposals are a great way to present an offer to a customer and allow them to see the package(s) and invoice, e-sign, and pay the deposit.

To create a new proposal:

  1. Click "Create New" in the top right and choose the "Proposal" option.

At minimum you'll need to choose a package (or select Custom/One-Off), a date and a time for your proposal. Most of the other fields on the proposal builder are optional.

2. To send your proposal to the client, click the Send Email button in the blue box at the top. You will have the opportunity to edit your email before you send it.

You can use the Quick Send button to send your proposal via SMS (text message).

Just click the Quick Send button on the proposal and select 'Send Proposal' from the dropdown list. Select either the Email or SMS option, then click Send Now.

Override defaults on a specific proposal

When creating a new proposal, you can override several aspects of the booking by clicking the Manage Booking button, including:

  • Change the status: click the purple Proposal button to change the status of the proposal. You can change it to:

    • Proposal Date Open (does not reserve the date/time)

    • Confirmed

    • Confirmed Awaiting Signature (will require client to sign in to e-sign the contract)

    • Proposal (Date Reserved) (reserves the date/time on your booking calendar)

    • Postponed

    • Canceled

  • Event title

  • Proposal Settings:

    • Proposal Image

    • Payment Methods (you can provide custom payment options for this proposal only)

    • Tax rate

    • Allow the client to add or remove add-ons from this proposal before accepting it

    • Allow the client to choose a backdrop before accepting the proposal

    • Change brand (if more than one)

  • Edit contract terms

  • Adjust payments & balance (takes you to the invoice where you can make changes)

  • Change due date

  • Change proposal expiration date

  • Override deposit amount (can add custom deposit amounts for each alternative)

  • Reapply flex pricing

  • Choose new design (also choose design collection for client to choose from)

  • Create an appointment for this client

  • Delete this proposal

  • Change log (shows what changes have been made to this proposal)

On proposals with alternatives, these settings will apply to all alternatives on the proposal; some settings will apply to only one alternative, so make sure you're editing settings for the correct alternative.
