This article discusses what you need to do to start growing your business through Check This Out including account setup and staff training.

On-boarding Instructions

Welcome to Check This Out! Please read through these on-boarding instructions before creating your account in step 1 or adding customers in step 3. It will also help to print out or save this article somewhere on your computer to easily answer questions from your staff.

Items needed to setup your Check This Out account:

1. Your logo in .jpg or .png file format

2. A photo of your business (favorite dish, product, or service) in .jpg or .png file format

3. A dedicated iPad, tablet, or smart phone that is wifi enabled, with the browser open to app.checkthisout.io/admin, and located next to a Point of Sale system to redeem coupons

4. A laptop or desktop computer for Initial setup and ongoing account administration

5. A list of your existing customer phone numbers in .csv file format

Initial Setup

1. Create and configure your Check This Out Admin account

2. Update your Point of Sale System with 2 coupon buttons

Add one button for the value of a CTO New Customer coupon and one for the value of a CTO Repeat Customer coupon. To credit a referrer with the amount of their credit balance, create a comp button that allows an open amount but has to be approved by a manager.

NOTE: Anytime you change the coupon configurations in your CTO account, check to see if you need to add a new CTO coupon button in your point of sale system.

3. Add existing customers to your Check This Out account. This will establish the baseline for who is an existing customer and who is a new customer.

4. Train your staff on how to redeem a coupon

Validate

a. If a customer states they have a Check This Out coupon ask to see it on their phone to confirm the coupon amount and expiration date.

b. Ask the customer to write their phone number on the top of their check

Redeem

a. Go to the Check This Out device next to your point of sale system and enter the customer’s phone number

b. Click on redeem when prompted to confirm redemption of Check This Out coupon

Deduct

a. Go to the Point of Sale system and follow your POS operating instructions to deduct the amount of the Check This Out Coupon from the customer’s check

b. Print check from point of sale system and confirm that the Check This Out coupon was deducted from the check

5. Shout out to your staff and customers about how they can easily earn credit at your business by sending their friends a Check This Out coupon.

Email to staff

Send your staff an email like this one to let them know they can build credit at your business by telling their friends and that they'll receive a welcome text inviting them to your referral program.


"We need your help to spread the word about [enter your business name]'s new word of mouth marketing software, Check This Out. Not only that, but how would you like to give everyone you know a coupon to [enter your business name] and earn credit for yourself at [enter your business name] for spreading the word?

It's super easy. You'll receive a text from Check This Out in the next day or two inviting you to send a coupon to your friends. Click on the link in the text then follow the prompts to verify your phone number and send the coupons. You can enter multiple contacts just like a group text. For every coupon that your friends or family members redeem you get $[enter your referrer credit amount] credit to use at [enter your business name]. There's no limit to how many coupons you can send or how much referrer credit you can earn. Let me know if you have any questions"

Email to customers

Send all of your customers an email like this one to let them know they'll be receiving a follow-up text after they come in to your business. This is a sample email from one of our restaurant Clients.

"We love seeing you at Charlie's Diner! If you enjoy dining with us as much as we enjoy serving you then feel free to spread the word through our new text based, word-of-mouth, referral program called Check This Out (www.checkthisout.io).

Basically, you get to eat at Charlie's Diner for free when you refer friends through Check This Out. Look out for a text from Charlie's Diner the day after you dine with us and click the link to send your friends a generous coupon to Charlie's. When they redeem it, you get a discount off your next Feast meal. There’s no limit to how many friends you can invite and how much credit you can accumulate. And we won’t share your information with anyone else without your permission."

Check inserts and A-frames at checkout

A brief insert in your check holder or an A-frame display next to your check counter explaining your new referral program is a good way to inform your customers. Let them know that they will receive a text inviting them to start referring friends, that it's super easy, and a way to earn credit at your business.

6. Invite your customers to use your Check This Out referral program

User Guide

Customer Import Instructions

Step 1, Click on Contacts in the left-side menu

Step 2, Click on Add Contacts at the top of the page

Step 3, Click on Enter Contacts Manually or Upload Contacts from csv File to add contacts to your list

Step 4, Click on the check boxes next to the customers to whom you want to send the following welcome text,

"Thank you for dining with us at [you business name] yesterday. We would like to reward you for sharing your experience with others. Click this link to send your friends a coupon and you can earn credit at [you business name] [Link to Check This Out is pre-populated}"

Step 5, Click Send Welcomes at the top of the page to immediately send your selected contacts a welcome text

NOTE:

  1. Check This Out automatically restricts customers to one welcome text every 30 days.

  2. Customers can send coupon invitations to as many recipients as they wish.

  3. Coupon recipients can only one active coupon at a time and every coupon has an expiration date

  4. Coupon recipients are also restricted from activating another coupon until after the Return Limit has expired.

  5. Customers and coupon recipients are listed on the Contacts page.

Customer Coupon Redemption Instructions

Validate

Step 1, If a customer states they have a Check This Out coupon ask to see it on their phone to confirm the coupon amount and expiration date.

Step 2, Ask the customer to write their phone number on the top of their check

Redeem

Step 3, Go to the Check This Out iPad, tablet, or smart phone next to your point of sale system (POS) and login to your Check This Out account. Alternatively your General Manager may choose to keep one server account logged in continuously for all Check This Out coupon redemptions.

Step 4, Enter the customer’s phone number then click Check for Valid Coupon.

Step 5, Note the amount of the customer's Check This Out balance. A $0 balance means the customer has already used their active coupons or credit balance. If a customer is certain they have an active coupon, please inform them that they may need to activate a coupon through the coupon invitation that was texted to them.

Step 6. Click on Redeem Coupon when prompted to confirm redemption of a Check This Out coupon.

Deduct

Step 7, Go to your POS and select the CTO coupon button that corresponds to the amount of the customer's Check This Out balance to deduct it from the customer’s check. For Check This Out balances larger than $10 ask your manager to authorize a comp discount on your POS for the amount of the Check This Out balance.

Step 8, Print a check from your POS and confirm that the Check This Out coupon was deducted from the check
