Activity Codes are versatile, and you can use them in many ways to provide business solutions. One way is to use Activity Codes to approve time cards. You can also use this same technique to add notes to time cards.
***Please note that if you are currently using Activity Codes in the traditional sense with employees selecting the activity on clock in, then this process will not work for you, but it's great for companies not otherwise using them. Let's get started.
How to Set Up Activity Codes to Approve Time Cards
At List Maintenance, Activity Codes, add a new activity code.ย
Enter a 3-digit code
Create a description. "Time Card Approved" would be good, but you can create others to add notes to time cards.
Check the box for "Admin Use Only" so that employees using the mobile app will not see this activity on the app.
The "Active" box should be checked.
Save.
How to Approve Time Cards
Now let's stroll over to Payroll Functions, Edit Time Cards. Layla has a 3-hour time card on 8/21. Review it, make any changes if necessary, and then use the Activity dropdown to select Time Card Approved.ย
Then you will see her time card has been tagged as approved. Save.
The Employee Activity Detail Report
Run the Employee Activity Detail Report on Layla to see that she has 5 total hours, and all 5 of those hours were approved.ย
