When you add an ongoing job, it has start and end dates, called work dates. If you used the Quick Add option, the default time frame is one year (with an option to auto-renew). But how do you know which jobs are expiring, when, and if they will auto-renew?
What Are Job Work Dates in Pro?
A job's work dates define how long the job will remain active. If you use the Quick Add wizard to add a job, the work dates will be one year by default (with the option to auto-renew). Advanced add allows you to set the dates, but you can adjust them in either case.
Why Are Work Dates Important?
Work dates play a crucial role in keeping your operations organized. They ensure employees clock into the right jobs by displaying only active ones in the system. Additionally, start and end dates help schedulers know exactly when to stop assigning shifts, avoiding confusion and unnecessary scheduling.
An Easy Way to See Your Jobs' Work Dates
Instead of clicking through every job looking for start and end dates, use a list view to scan and sort them quickly. The list view also shows if the job is set to auto-renew.
Go to Customers/Jobs > Jobs
Click on the List View icon
See columns for Start Date, End Date, and Auto-Renew.
Sort the column headers as needed.
Adjusting Your Job's Work Dates
Life happens. Maybe you wrapped up a job ahead of schedule, or it took longer than planned. Sometimes, a project doesn't start right on time - hey, we get it. Plans can change, and sometimes, a job doesn't happen at all. Or perhaps you're looking ahead, knowing you'll work beyond the current contract period and want to set up auto-renewal.
Pro gives you the flexibility to adjust on the fly, whatever the situation.
How to Change a Job's Work Dates
Here is a tip...
Use the master search box in the blue header for everything - jobs, customers, employees.
Or the long way...
Go to Customers/Jobs > Jobs > choose the job > Details > Job Status. Choose from the options:
Shorten the Job/Mark as Completed
Extend the Job
Move the Job Start Date
Move the Budget Calculation Start Date
Delete the Job
Not Seeing Your Job?
If you can't find a job to adjust its work dates, it might be planned for the future. To view and modify future jobs, use the "All Future" filter in the Jobs screen's funnel menu.
**Once a job has ended, you cannot change its dates - so be sure to extend jobs before they end.
How to Set a Job to Auto-Renew
You can set a job to auto-renew when adding it through the Advanced Add Job wizard, or you can do it any time before it expires.
Go to Customers/Jobs > Jobs > choose the job > Details > Job Details > check the Auto-renew box and save.
Jobs for Review
Pro alerts you 30 days before a job expires if auto-renewal isn't enabled.
How to Change the Name of a Job
If you need to change the job name or job type, just go to Job Details (same screenshot as above).
Nice Job! (pun intended)😉
