AI Event Summaries let you define exactly how you want your event summaries to be written. Set the tone, choose a writing style, and specify how long you want the summaries to be.
You can create summaries that are fun and conversational, serious and professional, or follow a specific editorial style such as AP style. You can also set a character limit so the summaries fit the space available on your site, in print, or in your newsletters.
Once your preferences are set, your customized summaries can be used throughout CitySpark:
Reverse Publish: Use your customized summaries when publishing events to print or newsletters.
Widget: Display a short, customized description with each event using the Article widget.
Email Builder: Include a customized description for each event in your newsletters.
Set It Up Once
Set up your preferences once, enable scheduling, and let CitySpark do the work for you. The system will automatically run the workflow on a regular schedule and create customized summaries for your events.
Your summaries will be ready to use whenever you publish events without having to write each description yourself.
To Create the summaries:
Open the Admin dashboard
Expand the Events section
Select the Events menu
Choose Create AI Workflow.
Once selected, a box will appear with several options. Select AI Event Summaries.
Get Events
Name Your Workflow
Enter a name for your AI Workflow and make sure the correct calendar is selected if you have multiple calendars under your account.
If you want the workflow to apply to all calendars under your account, select Enable Account Level Workflow.
Event Filter Options
Use the available filters to choose which events you want to create summaries for. You can use any combination of the filters to narrow down the events you want included. For example, if you are creating summaries for print and using a label to pull events into Reverse Publish, enter the label name in the Label field. You can also use Categories or any of the other available filter options to further refine your results.
For even more filtering options, select Advanced Search Filters. Here you can filter events by things like Editor’s Picks, venues, and keywords. Use any combination of the available options to find the specific events you want included.
Once you have your filters set, select Run: Get Events to pull in the matching events.
Note: Be sure to check the Max Event Count. This is set to 50 by default, so only the first 50 matching events will be pulled in. You can adjust this number based on how many events you want the workflow to include, up to a maximum of 500 events.
Once all of the content has loaded, select Next Step. This will take you to the AI Summary page, where you can describe how you want the AI to summarize each event.
AI Summary
Set the AI Model
Select the AI model you would like to use for your summaries. The available options are Standard, Standard High, and Premium.
Each model provides a different level of AI processing, which can affect the way your summaries are generated. Select the option that best fits your needs.
Max Character Length
Set the maximum number of characters for each summary by entering your desired character limit. Summaries will not exceed the number of characters you enter.
AI Prompt
Describe how you want the AI to summarize each event. You can use the available event fields to tell the AI what information to include in the summary. Select the info icon to see the event fields available to use.
Keep in mind that in most places, the event name, date, time, and location are already displayed separately. Including this information in the summary may result in it being repeated.
For example:
"Write a short, engaging summary that highlights what attendees can expect from the event. Focus on the main details and activities that would be useful or interesting to someone deciding whether to attend. Keep the tone friendly and conversational, and avoid overly promotional language."
Once you have finished filling out the fields, select **Run: AI Summary**. It may take a minute for the summaries to generate. Once they are finished, you’ll see the generated summaries directly below this section.
Review the summaries to make sure they look the way you want. If you don’t like the wording or need the summaries to be shorter, you can adjust the fields above and run the summary again.

Warning: Be sure to scroll back to the top of the page and save your AI Workflow before leaving the page. If you leave without saving, the summaries will only run once, and you will lose your filters. You will then have to go through the setup process again to select your events.
Once your workflow is saved, you can come back to it at any time to make changes or run it manually. Go to View AI Workflows, located directly above Create AI Workflow, and select the AI Workflow you would like to edit or run.
To have the workflow run automatically on a schedule, turn on the Enable Scheduling toggle.
Once your workflow is saved and scheduled, your AI Summaries will automatically be updated and available for use in your newsletters, widgets, and Reverse Publish.
